Salary: Depending on experience

Location: London-based (Shoreditch) 4 Day a week company (Monday at home / Tuesday to Thursday in the office)

You’ll be the heartbeat of GIFTA: part organiser, part fixer, part culture champion. You’re the person who makes everything just work — and makes the office somewhere people genuinely love being.

No two days will be the same. You’ll sit at the centre of a fast-moving environment, acting as the right hand to the CEO / Founders while owning the office experience end-to-end. Some days that’s pulling together an unforgettable team social or making a new starter’s first day feel seamless. Others it’s chasing a late invoice, packing bags for events, or handling something nobody else saw coming. The common thread: you take things off people’s plates completely — and get them done.

  • CEO & Executive Support: Triage and manage the CEO's inbox daily; Gatekeeping & Prioritisation: Acting as a strategic filter for the CEO; independently resolving 75% of incoming queries and ensuring only high-value 'Decision-Required' items reach the CEO; Relationship Management: Building rapport with key clients and partners to act as a seamless extension of the CEO’s voice, ensuring stakeholders feel valued even when the CEO is unavailable; Work with the CEO daily to align on priorities; Identifying potential scheduling conflicts or 'friction points' before they occur and resolving them without CEO intervention; Coordinate travel, meetings, agendas, and materials; Support CEO at internal and external events; Handle sensitive information with discretion; Support Founders with ad hoc admin support to help them multiply their time.
  • Office Management: Sole point of contact for landlord, cleaners, and maintenance; Keep the space running smoothly, organised, and welcoming; Manage supplies, equipment, deliveries, and meeting rooms; Handle post, access, and day-to-day facilities; Coordinate laptops, tech, access, and desk setup; Partner with IT to get people up and running smoothly; Lead the office search and move as we scale; Keep budgets tight and supplier relationships smooth.
  • People, Culture & Events: Own Tasty Thursdays — coordinating weekly team lunches everyone looks forward to; Organise Workout Wednesdays and keep the energy going week to week; Keep our office tuck shop stocked and managed to a budget; Plan and deliver quarterly socials, away days, and experiences that people actually talk about; Own birthdays, promotions, and milestone celebrations; Support client events and internal all-hands; Plan and deliver key events during the year, Summer Parties, Christmas gatherings; Own new starter onboarding as well as off-boarding; Help shape and protect the GIFTA culture as we scale.
  • Finance & Business Admin: Support finance chasing outstanding client invoices and employee/supplier/company receipts; Coordinate supplier and influencer payments; Support payroll administration with our provider; Handle insurance renewals and document filing; Keep the financial hygiene tight across the business.
  • AI & Workflow Improvement: Use AI tools like ChatGPT and Claude to automate repetitive tasks; Actively look for ways to make operations more efficient; Free yourself up for the high-value work that needs a human touch.
