Infrastructure: We deploy long-term capital through direct and fund investments across the capital structure within the Infrastructure space to diversify our portfolio.
This role supports a team of 6-7 individuals ranging from Associate to Managing Director.
Responsibilities:
- Organising business trips (i.e. booking all aspects of business travel - flight, hotels, taxis, restaurants and organising travel itineraries) paying particular attention to seeking appropriate advance approval, sourcing the best routes, connections and fares.
- Organise internal/external meetings, book meeting rooms using meeting planner (Condeco), including organising video and teleconferences.
- Organising and managing electronic diaries, across different time zones, using Outlook.
- Ensuring that the team calendar and relevant calendars are updated.
- Process and manage the online expense accounts of the team using Concur.
- Booking of restaurants and/or manage the provision of meals at meetings.
- Email management/responding to telephone calls.
- Ad-hoc secretarial and administrative duties as required (filing, photocopying, team events, company-wide events).
- Compliance with all GIC policies and procedures and processing declarations for entertainment and gifts.
Requirements:
- Working in a highly structured role which requires the individual to follow procedures and strict protocol.
- Happy to be in a busy role that encompasses a high degree of interpersonal dynamics.
- Proactive, willing and flexible attitude.
- Ability to meet tight deadlines and be receptive to change.
- Professional attitude with good interpersonal skills.
- Relevant experience in a similar EA or Team Assistant role required.
- Good general knowledge of IT equipment and usage, Word, PowerPoint, Excel and Outlook.
- Training for in-house online approval systems for travel, approvals and expenses will be provided.
- Hybrid working: 4 days in the office, 1 day flexible.
