Executive Assistant, Infrastructure (Maternity Cover)

Responsibilities
- Organise business trips, booking all aspects of business travel – flight, hotels, taxis, restaurants and travel itineraries, seeking advance approval, sourcing the best routes, connections and fares.
- Organise internal and external meetings, book meeting rooms using Condeco, including organising video and teleconferences.
- Organise and manage electronic diaries across different time zones, using Outlook.
- Ensure the team calendar and relevant calendars are updated.
- Process and manage the online expense accounts of the team using Concur.
- Book restaurants and/or manage the provision of meals at meetings.
- Manage email and respond to telephone calls.
- Ad‑hoc secretarial and administrative duties as required (filing, photocopying, team events, company‑wide events).
- Comply with all GIC policies and procedures and process declarations for entertainment and gifts.
Qualifications
- Experience in a highly structured role requiring compliance with procedures and strict protocol.
- Comfortable in a busy role that involves high interpersonal dynamics.
- Proactive, willing, and flexible attitude.
- Ability to meet tight deadlines and adapt to change.
- Professional attitude with good interpersonal skills.
- Relevant experience in a similar EA or Team Assistant role.
- Good general knowledge of IT equipment and usage, Word, PowerPoint, Excel, and Outlook.
- Training for in‑house online approval systems for travel, approvals, and expenses will be provided.
Hybrid working
4 days in the office, 1 day flexible.
