Gibson Dunn, a leading global law firm, is seeking a detail-oriented Event Coordinator in our London office. The Event Coordinator will assist the broader events team in supporting the firm's client-facing events, charitable activities, and ticket assets. This position will work closely with the Events team and will report to the Sr. Manager, Client Events.

Responsibilities

  • Coordinate on-site and remote logistics for client events, receptions, and entertainment.
  • Manage event shipping needs, prepare name tags, place cards, and event materials.
  • Update the InterAction CRM by entering contact information, tracking responses, and generating attendee and RSVP reports.
  • Serve as a point of contact for internal event inboxes – respond to inquiries, flag issues, and ensure timely follow-up with clients and internal stakeholders.
  • Research and recommend venues and vendors based on event needs; maintain up-to-date vendor databases.
  • Collaborate with Accounting to track expected event charges, ensure timely invoice processing, and submit credit card expense memos with proper documentation.
  • Oversee organization and inventory of branded materials and event supplies; track usage and recommend replenishment as needed.
  • Maintain and proactively update internal department systems, including branded merchandise inventory and event ticketing schedules.

Qualifications

  • Excellent written and verbal communication skills, with a professional presence and client service orientation.
  • Proficient in Microsoft Office Suite, with advanced Excel, Word, and PowerPoint skills.
  • Familiarity with InterAction or other CRM platforms preferred.
  • Strong organizational and project coordination skills with exceptional attention to detail.
  • Ability to prioritize tasks independently, manage competing deadlines, and adapt to shifting priorities.
  • Knowledge of venues and vendors in the region and/or other major markets is a plus.
  • Collaborative, solutions-oriented mindset with strong problem-solving skills under pressure.
  • Willingness to work evenings and weekends as needed for events.

Experience

  • 1–3 years of relevant experience in corporate event coordination, marketing, or business development; law firm or professional services experience a plus.
