Job Title: Safeguarding Administrator Location: Hybrid (Home and Office based either in Chippenham or Devizes) Hourly Pay Rate: £11.44 to £11.75 dependent on experience Hours: 37.5 hours per week (Monday to Friday) Length of the contract: Initially 1 Month (to be reviewed month by month rolling) Gi Group are now seeking to appoint an experienced Safeguarding Administrator to our Public Sector client based in Chippenham and Devizes. The Safeguarding Administrator will provide and coordinate administrative and secretarial services for the Safeguarding Team, including the preparation of agendas and minute taking, and appropriate follow-up action as required. The postholder will support the team with the management of projects, recording and updating data on Excel spreadsheets, gathering information, and undertaking enquiries. Duties of the Safeguarding Administrator Answering telephone calls and sorting and prioritising all incoming email and enquiries, and distributing as appropriate. Managing the electronic diary for the department, including arranging appointments, prioritising these as appropriate, and preparing all necessary agendas and minutes for team members in advance of their weekly meetings. Ensuring all urgent and/or confidential communications are received and distributed to and from relevant parties in a timely manner. Acting as a point of contact for teams, dealing and responding effectively with complex queries from providers and stakeholders, and passing on relevant information to appropriate team members sensitively and autonomously. Management of K-Drive folder generation and its content on the organisation system in the safeguarding shared drive. Preparing agendas, taking minutes, and distributing notes of meetings, including typing up of group discussions and interviews. Collating and preparing reports to support staff for weekly attendance at safeguarding forums. Inputting, monitoring, and checking data required for finite and ongoing work programs. Collecting and collating information on behalf of the team to inform quarterly safeguarding returns, annual reports, and other team projects. Helping to organise and plan events, including recording attendance, and maintaining a database of participants. Manging recruitment paperwork and application process, setting up interviews, and communicating with candidates. Role Criteria Educated to NVQ Level 3 in a relevant subject or equivalent level of qualification or significant equivalent previous proven experience. Significant administrative or secretarial experience including initiating and maintaining office systems. Ability to deal with highly sensitive and potentially distressing patient information. Accurate data entry skills and excellent knowledge of IT systems and software programmes, such as Outlook, Word, Excel, PowerPoint, and MS Forms. Experience using platforms to facilitate training and meetings. Knowledge of Public Sector issues. Minute taking.
