Worker Care Specialist - Gi Group
Location: Leicester (Hybrid)
Contract: 6-month fixed-term contract (FTC)
Hours: 37.5 per week
Salary: Up to £28,000 per annum (DOE)
We're looking for a detail-focused Worker Care Specialist to support worker administration, pre-payroll and pre-invoicing activities. You'll help ensure records are accurate, processes are compliant and pay and billing are completed on time, while providing a helpful and responsive service to workers and stakeholders.
Key responsibilities
- Manage end-to-end worker administration including document verification, contract issuance and amendments/extensions, medical checks (where required), qualification/certificate tracking and exit documentation.
- Prepare and review pre-payroll and pre-invoice packs to ensure accuracy ahead of pay runs and client billing.
- Respond promptly to worker and operational queries about pay, contracts and administration, providing clear, accurate information.
- Monitor time and attendance data, process timesheets and absence records, and manage adjustments including bonuses, deductions and other pay variances.
- Ensure ongoing compliance with legislation, client requirements and internal processes; identify and escalation risks or changes that may impact pay, invoicing or margin.
- Work closely with Operations, Sales, Payroll and Finance to resolve issues, control labour costs and protect margin, maintaining clear communication and ownership.
- Support continuous improvement initiatives, contribute to process documentation and act as a subject‑matter contact for the Care Team and apprentices.
What we're looking for
- Experience in workforce administration, HR operations or payroll coordination; staffing or agency back‑office experience is desirable.
- Good working knowledge of UK payroll principles and related compliance requirements.
- Strong attention to detail and accuracy when handling transactional data.
- Confident using IT systems, with experience of payroll, ATS or ERP platforms and good Excel skills.
- Excellent written and verbal communication skills, with the confidence to work with a range of internal and external stakeholders.
- Well organised, able to prioritise competing tasks and meet deadlines.
- A customer‑focused approach and commitment to providing a positive worker experience.
