My client, a leading M&E and Maintenance company, is currently recruiting for a Maintenance Quotes and Procurement Coordinator to join their Estimating Team. You will be responsible for preparing quotes and maintaining suppliers and subcontractors, and coordinating the procurement and delivery of parts. Your primary focus will be on accuracy, timeliness, and cost-efficiency, ensuring we maintain high service levels across quoting, purchasing, and supply chain functions.
Main Duties
- Receive and review quote requests; compile the initial quote and relevant details for the estimating team.
- Liaise with internal teams (sales, engineers, estimators) to ensure accuracy and completeness of information to increase likelihood of quote acceptance.
- Ensure timely handover of quotes to estimators.
- Track the status of quotes to ensure timely submission to customers and escalate quotes that customers have not responded to.
Procurement & Supply Chain Management:
- Source and negotiate with suppliers and subcontractors to ensure best value, quality, and reliability.
- Build and maintain strong relationships with key suppliers and subcontractors.
- Maintain a database of approved suppliers and subcontractors, including performance records.
- Monitor and manage lead times and delivery schedules.
- Liaise with Accounts regarding suppliers/subcontractors invoice status and keep the planners updated.
Parts & Logistics Coordination:
- Place and track orders for parts and materials required for quote jobs.
- Coordinate delivery schedules to ensure timely arrival at job sites or with engineers.
- Communicate with engineers to confirm part requirements and delivery details.
- Handle any discrepancies, delays, or issues with suppliers or deliveries.
- Liaise with planners to keep customers informed of progress on quoted jobs.
- Update the status of the jobs once parts have been delivered/ready to be collected so the Engineer Planner can book the job in with the customer.
