This role is responsible for the management of inbound data ensuring that it is processed in a highly accurate and timely manner utilising automated workflows and GFS systems. The role works closely with external stakeholders and the GFS IT team to scope, develop, test, and release updates that enable the prompt automated billing of customers and reconciliation of supplier charges to minimise profit leakage and protect margin. This role includes line management responsibility.
Main Areas of Responsibility
- Data Control: Ensuring that all supplier invoices are processed promptly ensuring they can be validated and reconciled well in advance of payments being due. Management of prompt and accurate upload of data into the GFS Billing Database is a pre-requisite for timely billing of customers, accurate accounting provisions and enhancing customer experience. Focus on automation of processes. All manual processes must be on a clear and short path to automation. Driven to achieve a rolling weekly schedule of supplier invoicing processing, inline with GFS weekly billing routines, minimising the time to revenue generation, particularly for surcharge billing.
- Change Management, Workflow and Automation: Leading the development, testing and implementation of automated solutions to ensure continuous improvement of GFS systems workflows, including new carrier integration. This includes working closely with IT to create integrations including the creation of change requests (CRs), running robust and thorough test scenarios, through to sign off to put updates live. Leading relationships with internal and external stakeholders including carriers, IT and commercial teams to ensure that timelines and roadmap are clearly explained and delivered. Creating a positive perception of the work of the Profit Protection team through clear, professional communication, education and training where required.
- Purchasing Analysis, Reporting and Margin Management: Working closely with the Data and Systems manager to ensure data integrity, automated report and development of the validator model is maintained. Production of automated exception reporting to highlight areas of focus and update. Supporting the Financial Controller in reporting on the company’s monthly revenue and gross margin position, providing data for provisioning costs and revenues, and ensuring provisions are realised promptly. Line management of Assistant Data Controller. Ensure training is provided ensuring there is always contingency enabling seamless standards of performance particularly during times of annual leave, staff sickness or reduced headcount. Introduce structure, process and controls to drive team process efficiency and value. Set deadlines, objectives, and deliver key results to develop, motivate and manage team performance. Mentor and motivate direct reports to achieve productivity targets, supporting their personal and professional development, and business succession planning. Complete monthly, detailed 121’s with direct reports. Supporting the development, testing and implementation to ensure continuous improvement of GFS systems and automated solutions. Learning new approaches and practices to ensure continual improvement across process and deliverables. Identifying areas of improvement that will result in increased efficiencies, productivity, controls, customer service and revenue across the business. Picking up ad-hoc projects as & when required.
