GetSetSwim is scaling FAST. New clubs, big ambition, zero interest in doing things the old way. We’re rebuilding learn-to-swim from the ground up: calm, purpose-built pools, elite coaching, and family-first service. Two flagship clubs open this April and we need brilliant Swim Coordinators to lead poolside performance and grow something exceptional.
Why this role is different This isn’t babysitting the timetable. You’ll own the swim academy on site: coaching culture, customer experience, community partnerships, events, and outcomes.

Key responsibilities
- Recruit, interview and recommend swimming instructors to join the team.
- Deliver induction programmes, shadowing plans and structured 30/60/90-day objectives for new starters.
- Create an annual CPD calendar (in-house and external courses), track qualification renewals (DBS, first aid, teaching certs) and manage CPD and training budgets.
- Run regular team meetings, practical workshops and coaching clinics to share best practice and standardise teaching technique.
- Deliver structured 1:1s, probation reviews and performance improvement plans; escalate HR issues to General Manager when needed.
- Set clear KPIs for teachers (retention, attendance, assessment pass rates, parent feedback) and monitor performance dashboards.
- Lead Instructor and Mentor responsibilities.
Operational Management & Scheduling
- Build and maintain teaching schedules, balancing staff availability, peak demand and manage cover.
- Ensure all lessons run with a minimum 80% occupancy metric.
- Maintain accurate lesson registers, attendance logs, assessment records, badge issuance and achievement trackers.
- Lead daily poolside briefings and end-of-day debriefs to ensure consistency and handover.
- Coordinate pool testing protocols, maintain chemical logs, escalate plant issues and liaise with facilities/maintenance teams with findings.
- Ensure site complies with health & safety, safeguarding and regulatory requirements; maintain incident logs and complete LTI/accident/ near-miss reporting.
Coaching Quality & Curriculum
- Ensure the delivery of the GetSetSwim progressive curriculum aligned to ability stages and awards; create lesson plans, themes and learning objectives.
- Conduct structured observations with standardised feedback forms; run calibration sessions so all coaches deliver consistent greetings, lesson flow, feedback and timings.
- Analyse assessment data to identify learning gaps, recommend coaching interventions and run catch-up clinics.
- Source, manage and order teaching equipment and props; ensure inventory control and lifecycle replacement planning.
- Assist coaches that require help and assistance
Customer Experience & Retention
- Oversee customer communications related to class placements, progression updates and question follow-ups; craft responses and escalation flows.
- Proactively manage class allocations and movements to reduce mismatches, and waitlist churn.
- Lead parental engagement initiatives: progress evenings, demo lessons, Q&A sessions and feedback surveys.
- Work closely with the GM to grow the products, services and times that have opportunity.
- Manage the transitions from baby programme to children’s scheme.
- Investigate and resolve escalated complaints promptly, recommend systemic fixes and report trends to General Manager.
Community & Partnerships
- Execute outreach strategies with local schools, nurseries, GP surgeries and sports clubs; deliver termly school-swim programmes and talks.
- Plan and deliver community events, themed weeks and award ceremonies; collaborate with marketing on promotional calendars and local PR.
Events, Marketing & Content
- Work with marketing to brief content needs; write blog posts, record short social media clips and supply parent testimonials.
- Track event ROI and participation metrics in line with any marketing requests.
Financial & Performance Reporting
- Work with the Club GM to monitor class utilisation, retention rates and staffing cost vs. budget; suggest timetable changes to improve yield.
- Prepare weekly/monthly performance summaries for GM.
- NPS/CSAT trends, staffing risks and improvement plans.
Site Presentation & Front of House
- Lead morning set-up and evening close-down checklists; ensure changing rooms, pool areas and reception are clean and presentable.
- Train team in meet-and-greet standards and tour scripts; support membership sign-ups and enquiries where needed.
- Maintain uniform standards and stock of branded materials for staff and events.
Safeguarding & Welfare
- Act as the on-site safeguarding lead for swim operations (or deputy where applicable); complete welfare reports and liaise with safeguarding officers.
- Ensure coaches follow SEN adaptations and inclusive practices; coordinate support for children with additional needs.
- Manage incidents involving children or staff with care, confidentiality and rapid escalation.
- Champion company values: model behaviour, recognise team wins and work with the GM to run regular culture-building activities.
- Represent your club at leadership forums and contribute to company-wide operational best practice.
- Attend industry events.
Who We’re Looking For
You’re someone who:
- Has hadexperience supervising swim teachers
- Is a qualified swimming instructor – preferably with SEN and Parent and Baby experience.
- Is willing to train to become a certified trainer-assessor and is confident delivering training.
- Has strong organisational, communication and people-management skills.
- Leads people with clarity, authority, and humanity

- Is confident delivering poolside observations and constructive feedback.
- Is customer-focused, proactive, flexible and hands-on.
