GES is currently looking for a Project Coordinator to join our Graphics Team based in Birmingham.

Role Purpose:

To support the GES Exhibitor Graphics function by providing a full coordination service to the team, ensuring all tasks are performed efficiently, accurately, and in a timely manner, with projects coordinated in line with the client’s SLA.

What you will do

  • Manage the Exhibitor Graphics invoicing system, ensuring invoices are checked and correspond to the correct Purchase Order (PO).
  • Take initial face-to-face briefings from internal and external clients and start the planning process.
  • Develop work schedules based on client requirements, identifying resources needed, including labour and travel bookings.
  • Communicate show requirements to all departments within graphics and brief Design & Production accordingly.
  • Provide a costing program to internal and external clients, listing all items and budgets.
  • Generate quotes for off-the-shelf and bespoke products as required.
  • Keep schedules updated and accessible on server and internal systems.
  • Assist callers via phone and online chats with queries.
  • Coordinate allocated graphic projects, ensuring client briefs are followed and graphics are accurate.
  • Use internal PMS and SOP systems, as well as salesforce.com.
  • Review and update the revenue tracker daily.
  • Manage external courier systems, ensuring cost-effective usage and purchase order requests.
  • Maintain and achieve departmental and personal KPIs and objectives.
  • Create onsite job packs for the install team, ensuring accuracy and currency.
  • Assist the project management team with ad hoc tasks as needed.
  • Show flexibility in undertaking various skills or tasks at different times and locations.
  • Represent the company professionally and stay informed about industry trends.
  • Perform other duties as assigned.

Relationships

Develop and maintain positive working relationships internally and externally to facilitate growth and integration. Collaborate with and support GES employees, departments, suppliers, exhibitors, and organizers.
