Geosyntec has an exciting opportunity for an experienced Proposals & Marketing Specialist. The role involves:

  • Preparing and assembling written and visual information for client presentations.
  • Leading the production of proposals/SOQs, including editing and graphics; preparing for digital and/or print reproduction and ensuring on-time delivery.
  • Identifying and monitoring proposal/SOQ criteria, ensuring responses are fully compliant and win themes are targeted.
  • Maintaining scheduling and tracking systems for individual pursuit and proposal elements and updating technical/marketing teams on status.
  • Assisting in developing pursuit plans and client outreach activities ahead of RFP release.
  • Identifying needed content from team and consultants, integrating onto pursuit platforms (local drives, SharePoint, OneDrive, Teams folders) and organising and informing pursuit teams of the organisation.
  • Tracking pre-submittal meeting schedules and attendees, identifying decision-makers, including pink-red team reviews.
  • Maintaining systems to extract, categorise, and retrieve information related to clients, consultants, personnel, projects, prior proposals, boilerplate, visuals, and mailing lists.
  • Working with BD leaders to help manage seller-doer schedules to identify client RFP calendars.
  • Managing the Branch’s procurement platform initiatives (identifying platforms, registering accounts, selecting appropriate categories, monitoring email/solicitation details, coordinating with appropriate technical staff for go/no-go bid opportunities).
  • Preparing proposal/SOQ story-boards, demonstrating writing proficiency.
  • Working with technical teams to create compelling and informative content, demonstrating our position as thought leader in focus areas.
  • Coordinating and supporting implementation of targeted marketing campaigns for the branch/region/company as needed (assisting with strategy development, approach/method, helping identify and/or create campaign materials such as videos, brochures, PDs, etc. and supporting the debrief of analytics and lead follow-up).
  • Conducting research related to competitors; past, current, and prospective markets; and relevant corporate experience.
  • Coordinating getting new business opportunities and client information into CRM platform.
  • Assisting with graphics, writing, and proofreading.

Education and Licensure: Bachelor's degree and at least 4 years of proposals experience in a professional services environment (e.g. engineering, architecture, construction, legal).

Skills, Experience and Qualifications:

  • Experience with the production of technical proposals and reports.
  • Working knowledge of production techniques to support proposal, presentation, or other sales and marketing activities.
  • Formatting, writing, editing, and proofreading skills with strong attention to detail.
  • Advanced computer literacy using MS applications and Desktop Publishing Software (e.g. Adobe Suite, including Acrobat, InDesign, Office Professional, Outlook).
  • Windows proficiency including, MS Professional (Word, Excel, and PowerPoint), Adobe Acrobat, and typing ability.
  • Ability to understand and follow complex oral and written instructions.
  • Ability to work both collaboratively and independently to perform effectively under tight deadlines.
