We are seeking a motivated, organised, and detail-oriented Operations Assistant to join our team in Westminster. This role is ideal for someone seeking to build a strong foundation in operations within a fast-paced, growing international policy think tank. You will act as the engine room of our organisation, supporting the senior management team and other colleagues with operations and external liaison, administration, and personnel matters. You will also contribute ideas and support our research platforms, events and policy programme and work in tandem with events/comms/policy colleagues.
Key responsibilities:
- Operations and external liaison: Support the Director of Strategy with daily coordination of organisational activities; Manage internal and external meetings, including liaison and engagements with senior stakeholders; General assistance with events and external relations management.
- Administration: Manage software subscriptions (e.g., Google Workspace), troubleshoot basic IT issues, and coordinate with external IT support vendors.
- Personnel: Support the directors with personnel matters, including maintaining and developing our online personnel management system and tracking personnel requests; Assist in organising team away days and social activities to foster team cohesion; Oversee the internship programme: from recruitment and onboarding to day-to-day coordination of intern activities.
Requirements:
- Graduate (Classification of 2.1 or equivalent or above);
- Ability to establish, maintain and nurture relations with key stakeholders;
- Experience with bookkeeping, processing invoices, or managing small budgets;
- Knowledge of Xero, Dext and similar administration systems, skills in Google Workspace, and other key IT applications;
- Strong time-management skills with the ability to multi-task in a fast-paced Westminster environment;
- Perfect command of English, attention to detail and an aptitude for learning new software quickly;
- Team worker with a proactive inclination and positive attitude;
- Relevant experience within the non-profit, charity, or policy sector is a benefit.
The role also includes opportunities to contribute to our online platforms, events and policy programme. 28 days annual leave (inclusive of Bank Holidays), increasing with length of service.
