Job Purpose
The Facilities Assistant supports the school’s daily operations, including setting up for events, managing deliveries, overseeing cleaning, and ensuring a high level of customer service to staff, visitors and commercial users.
Responsibilities
- Ensure school buildings are open on time for staff and pupil arrivals.
- Work in compliance with the school Health & Safety policy and ensure compliance by the domestic cleaning team.
- Monitor the Janitorial Helpdesk at least twice daily and complete requested tasks promptly.
- Co‑operate with team members on 3‑weekly shift patterns: dayshift, weekends and evenings.
- Monitor the school diary for events and facilitate setting up of furniture and tables as required.
- Engage with the catering team and support delivery of refreshments as directed by the Catering Manager.
- In the absence of the Cleaning Supervisor, oversee and liaise with domestic cleaners on daily issues.
- Carry out weekly testing and recording of building fire alarms as directed.
- Support domestic cleaning staff with delivery of cleaning supplies, washroom supplies and equipment.
- Provide out‑of‑hours cleaning as required, including emergency responses such as a child’s illness, and post‑cleaning after school events and commercial activities.
- Regularly monitor inside and outside areas, including parking and boarding houses, for litter and clean up appropriately.
- Assist visitors, maintain up‑to‑date parking and visitor signage, and escort tradesmen or inspectors as directed.
- Deliver mail and packages to the boarding house community as required.
- Liaise with the Cleaning Supervisor on any cleaning‑related issues.
- Inspect the minibus fleet and facilities assistant van weekly, deliver reports to the Commercial Operations Manager.
- Respond to residents and commercial guests as required and handle emergency out‑of‑hours requests from duty staff.
- Provide cover to other facilities assistants during absences.
- Ensure availability to commercial users, arrange campus access, and represent the school for queries.
- Monitor campus occupancy during shift hours, approach and challenge unidentified individuals, and report any damage or incidents to the Estates and Facilities Manager.
- Secure the school premises at the end of the day by closing windows, turning off lights, and securing doors with combination and main locks.
- Attend and complete role‑relevant training courses such as minibus driving assessment and commercial support training.
- Carry out other duties as directed by the school management team.
