Job description:
- Customer facing – Engage with all customers relating to meeting requests / invoice queries
- Manage all Purchase Orders for the site SAP, raising Purchase Orders, and releasing Purchase Orders, clear and raise credits
- Contractor support to include but not exhaustive, create Purchase Orders and provide invoices, chasing invoices and answering all queries
- Manage and negotiate suppliers to ensure best and cost-effective approach for business
- Process and record invoices in areas such as services, consumables and ad-hoc costs such as travel costs
- Manage site costs and client invoicing and support any queries from customers
- Compile full costs for Customer approval
- Manage and maintain the flow of correspondence, filing, requisition of supplies
- Manage and maintain training information and update matrix
- Manage and maintain site consumables and office supplies to appropriate level – ensuring all office area equipment (offices, meeting rooms, kitchen and open workspaces) is properly maintained
- Report employees' hours to payroll/agency
- Verify overtime and bonuses and ensure standard approach across operation
- Agency contact for all payroll and compliance
- Recruitment requisition creation and ensure all sign off's are complete
- HR support, new starters documentation
- End of month report and ensure costs are aligned
- Pallet management, stock levels, audits, orders & damages, compiles for Customers
- Support General Manager / Operations Manager gathering and presenting information in relation to HR and Admin matters, assisting with sourcing and offering improved commercial terms on all consumables and services required
- Analyse and organise office operations
- Always promote Geodis in a positive and ethical manner
- Carry out reasonable request by the General Manager / Operations Manager
Applicant's profile:
- Essential Education and/or Training: GCSE's in Maths, English and Science (grades A to C), 3 A Levels (A to C) or equivalent vocational training an advantage, Supply Chain Specific Qualifications an advantage
- Preferred Experience and Knowledge: Customer centre organisation exposure is essential, General HR knowledge, Knowledge of labour management systems and productivity initiatives preferred
- Necessary Technical / Functional Skills: Ability to generate or write basic reports, business correspondence and procedure manuals, Ability to apply concepts such as fractions, percentages, ratios and proportions to practical solutions, Ability to solve practical problems and deal in common sense, Ability to interpret a variety of instructions furnished in written, oral, diagram or schedule form, PC literate with experience with Microsoft Outlook, Word and Excel
