The Integrated Management Systems Controller coordinates the day-to-day IMS activities across 3 manufacturing sites, ensuring alignment with ISO 9001 / AS9100 regulatory framework requirements and company policies. The Technical Project Coordinator serves as a critical liaison between the Quality Management team and various business functions, ensuring seamless coordination, implementation, and oversight of changes and updates to electronic systems within the IMS.

This role is responsible for reviewing system change requests, engaging with business owners and technical teams to assess impact on the overall IMS roadmap, and proposing viable solutions and timelines. The coordinator will monitor progress, maintain documentation, and drive requests through to completion, ensuring alignment with business objectives and regulatory requirements. Strong communication, analytical thinking, and project management skills are essential to effectively bridge technical and operational needs.

Key Accountabilities
  • Maintain and update IMS documentation, standard operating procedures (SOPs), and records in line with corporate change control.
  • Collaborate with site teams to ensure Quality, EH&S requirements are effectively integrated into daily operations.
  • Review and track system change requests related to Integrated Management System (IMS) enhancements.
  • Facilitate and monitor document changes to ensure compliance and alignment with quality standards.
  • Ensure that change request records are initiated, approved, and closed in conjunction with the changes executed.
  • Support cross-functional projects that involve changes to the QMS system.
  • Provide general administrative support to the Quality team.
  • Create, monitor and maintain the Integrated Management Systems (IMS) roadmap, including updates, prioritisation, and new additions.
  • Conduct daily reviews of system requests and liaise with business owners to gather inputs for the overall process.
  • Facilitate bi‑monthly reviews on IMS system change requests and discuss progress with stakeholders.
  • Support communications regarding status, change management, and IMS status/projects as required.
  • Support internal and external audit programmes, including scheduling, documentation, nonconformance tracking, and follow‑up.
  • Provide data and reporting support for performance metrics, monthly and annual management reviews, and continuous improvement initiatives.
  • Assist in developing and delivering IMS‑related training and awareness sessions to operational personnel.
  • Contribute to cross‑functional improvement projects, ensuring alignment with sustainability, compliance, and business objectives.
  • Support audit readiness and conformity assessments by third‑party certification bodies.
  • Coordinate document and record control via electronic management systems or enterprise IMS tools.
  • Creation of Key Performance Indicators, to monitor IMS.
What You’ll Bring
  • Experience coordinating ISO 9001, AS9100, ISO 14001, and ISO 45001 regulatory management systems within a manufacturing business environment.
  • Ability to manage multiple change requests, track progress, and ensure timely delivery of integrated management system updates.
  • Strong organisational and time management skills with the ability to manage multiple tasks, deadlines, and priorities efficiently.
  • Strong interpersonal skills to bridge communication between various business functions and stakeholders.
  • Proficiency in document control systems and integrated management software (e.g., Q-Pulse, Intelex, or similar).
  • Competence with Microsoft Office suite and business analytics tools.
  • Detail‑oriented and systematic, with strong process discipline.
  • Confident communicator, able to engage effectively at all organisational levels.
  • Self‑motivated, capable of managing multiple site priorities and deadlines.
  • Committed to promoting a culture of quality.
Qualifications/Experience
  • At least 3-5 years’ experience in a professional office environment within Manufacturing environment.
  • Demonstrated experience: system data entry, administrative support, and completing the daily queue of workload/intake, and recommending solutions to achieve desired outcomes.
