The primary focus of this role will be to provide comprehensive Executive Assistant support to a Managing Director and wider deal team in London, Europe and Dubai which will include the organisation and co-ordination of complex roadshows and meetings.

Responsibilities:

  • Work with a network of EAs from all Actis offices and investor companies to coordinate extensive and complex international travel across many different time zones.
  • Organise complex portfolio company trips.
  • Manage travel arrangements including visa requirements.
  • Extensive Diary Management using MS Outlook – arranging meetings, lunches, booking meeting rooms with relevant facilities and greeting visitors etc.
  • Monitor and manage incoming and outgoing emails and flag as required.
  • Deal with internal and external calls, answering queries, taking messages, arranging conference calls.
  • Manage travel budgets and expenses.
  • Set up files and maintain any filing as required.
  • Support the organisation & implementation of team events.
  • Assist in the preparation of presentations and reports and putting together PowerPoint presentations to a high standard.
  • Buddy support/absence cover for other Executive Assistants.

Knowledge:

  • Experience in an investment banking, private equity or business development environment is desirable.
  • Experience in organising international travel.
  • Experience and comfort in working within an international environment.
  • Self-motivated and ability to work in a small office environment.
  • Excellent attention to detail.
  • Able to use own initiative.
  • Committed, loyal and flexible.
  • Ability to work independently with little direction when team are travelling.
  • Ability to be discreet and maintain confidentiality.
  • Team player.
  • Demonstrate problem solving skills by being creative, innovative, and considerate.
  • Exceptional interpersonal skills, both written and verbal.
