Job Purpose The Central Operations Administrator is a multi-functional, cross-departmental role that provides organised, accurate and responsive administrative support for key central service functions. The role acts as a coordination point for fleet administration, IT inbox triage, business services administration and health and safety administration support, helping ensure routine operational activity is handled efficiently, records are maintained accurately and internal customers receive timely support.
Outline of The Role Job Role:
Central Operations Administrator Salary: Β£27,00.00 - Β£30,000.00 per annum - depending on skillset & experience Benefits:Death in service benefit, pension scheme, other benefits within the company Hours: 37.5 hours per week, Monday - Friday Start Date: TBC/ASAP Annual Leave: 25 Days + 8 Statutory bank holidays per annum Location - Runcorn Head Office
Key Responsibilities Fleet Administration
Act as the internal coordination point for fleet administration, liaising with drivers, managers and the external fleet leasing/management provider. Maintain internal fleet records and trackers, ensuring key information is accurate, up to date and aligned with provider data. Monitor outstanding actions, renewal dates and compliance-related queries, escalating issues to the external provider or internal stakeholders as required. Support internal reporting and query resolution for vehicle allocation, documentation, incidents, fines and general fleet enquiries. IT Inbox Triage
Monitor the IT support inbox and ticketing channels, logging, categorising and prioritising requests accurately. Resolve straightforward administrative IT queries where appropriate, such as account requests, access forms, equipment requests and status updates. Escalate technical issues to the appropriate IT support teams or external providers with clear, complete information. Track open requests, follow up on outstanding actions and keep users informed of progress. Maintain simple guidance notes, process documentation and recurring request templates. Business Services Administration
Provide day-to-day administrative support to central operations and business services teams. Maintain records, trackers, filing systems and shared documents, ensuring information is current and easy to locate. Support purchase requisitions, invoice queries, supplier administration, meeting coordination and general office processes. Identify opportunities to simplify routine processes and improve administrative consistency. Health & Safety Administration Support
Support the maintenance of health and safety records, compliance trackers, training records, audit documentation and incident logs. Assist with document control for policies, procedures, risk assessments, method statements and workplace inspection records. Coordinate requests for health and safety information, ensuring actions are assigned and followed up. Support the preparation of basic health and safety reports, meeting packs and action trackers. Maintain confidentiality and accuracy when handling sensitive incident or compliance information.
Essential Skills and Experience
Strong administration experience in an office, operations, business support or shared services environment. Excellent organisation skills, with the ability to manage multiple workstreams, deadlines and follow-up actions. High attention to detail and accuracy when maintaining records, trackers and compliance information. Confident written and verbal communication skills, with a professional approach to internal customers and external suppliers. Good working knowledge of Microsoft Office applications, particularly Outlook, Excel, Word and Teams. Ability to prioritise incoming requests, identify urgency and escalate appropriately. Discretion and confidentiality when handling personal, operational, commercial or health and safety information. Proactive, dependable and service-focused, with the ability to work both independently and as part of a wider team.
Desirable Skills and Experience
Previous experience in fleet, transport, facilities, IT support administration, compliance administration or health and safety administration. Experience using ticketing systems, fleet management systems, asset registers, purchasing systems or document management platforms. Awareness of vehicle compliance requirements, driver documentation, service schedules, insurance processes or supplier coordination. Awareness of IT service desk principles, including triage, categorisation, prioritisation and escalation. Basic understanding of health and safety administration, including training records, risk assessment document control, incident logs and audit actions. Intermediate Excel skills, including filtering, lookups, pivot tables or simple dashboard-style reporting. Experience supporting process improvement, standard operating procedures or shared inbox management. Relevant administrative, business support, ITIL foundation, fleet, facilities or health and safety awareness training.
