The Role
GenTech Recruitment is working with an established and growing business based in Downpatrick to recruit an experienced Office Manager Accounts & Operations. Our client operates across electrical contracting, specialist lighting, event services and associated installation, engineering and maintenance services, supporting a varied customer base across the UK and Ireland. Their operations span everything from design and project delivery through to installation, testing and ongoing services, creating a busy and fast-moving office environment.
This is a key role within the business, supporting the Directors and wider team with the day-to-day running of the office. While the position includes responsibility for accounts, this is primarily an Office Management role rather than a standalone accounting position. The successful candidate will be someone who is highly organised, comfortable taking ownership of a busy office and confident handling accounts, payroll, staff administration and wider operational duties.
Key Responsibilities
- Take responsibility for the smooth day-to-day running of the office
- Manage general office administration, systems and documentation
- Maintain day-to-day company accounts using Xero
- Process purchase and sales invoices
- Manage supplier and customer payments
- Complete account and bank reconciliations
- Assist with the preparation of management accounts and financial reports
- Prepare and process weekly and monthly payroll
- Maintain payroll records, staff holidays and associated employee documentation
- Coordinate staff work schedules and job allocations
- Assist with the preparation, coordination and submission of public and private sector tenders
- Maintain company records, compliance documentation and filing systems
- Support the management of the company vehicle fleet
- Maintain records relating to vehicle servicing, MOTs, insurance and maintenance
- Liaise with customers, suppliers, employees and external service providers
- Produce reports, spreadsheets and management information as required
- Help coordinate priorities across the business and ensure deadlines are met
About You
You should be comfortable working across several areas of a business rather than focusing solely on one function.
Essential Skills & Experience
- Strong previous experience in office management or senior administration
- Experience managing day-to-day accounts and bookkeeping
- Good working knowledge of Xero Accounting Software
- Experience with purchase ledger and sales ledger
- Experience processing invoices, payments and reconciliations
- Previous experience preparing wages and payroll
- Strong Microsoft Office skills, particularly Excel
Desirable Experience
- Experience in any of the following would be particularly beneficial:
- Preparing or coordinating tender submissions
- Staff scheduling or workforce coordination
- Fleet or vehicle administration
- Construction, electrical, engineering, facilities, contracting or another project-led environment
- Supporting senior management or company Directors
- Management accounts or financial reporting
- A relevant qualification in bookkeeping, accounting, business administration or office management
