Job Overview The RFP Specialist plays a crucial role in managing the initial stages of the RFP process. The RFP Specialist is the first point of contact for all incoming RFPs within GEN Plus Group. This role is crucial in ensuring that RFPs are promptly and accurately logged, reviewed, and distributed to the appropriate teams for further action. The RFP Specialist plays a key role in the initial assessment and organization of RFP documents, setting the foundation for a successful response process. This position is within the marketing department.

Requirements Key Responsibilities:

  • Monitor RFP Channel. Regularly check and monitor all channels through which RFPs may be received, including email, online portals, employee referrals.
  • Promptly acknowledge receipt of each RFP to the issuing organisation, confirming our intent to review and respond.
  • Conduct a preliminary review of each RFP to identify:
  • Determine the alignment of the RFP with the agency’s business activities and potential for growth.
  • Identify high-priority RFPs that present significant opportunities for the agency.
  • Understand the client’s requirements, objectives, evaluation criteria, key success factors, deadlines, and any immediate concerns or questions.
  • Translation if required.
  • Highlight any legal, bond, compliance requirements.
  • Accurately log all incoming RFPs, ensuring all relevant information (client name, submission deadline, contact information) is recorded.
  • Schedule & organise team meetings ensuring agenda is set, distribution of the RFP document, preliminary review, highlighting critical deadlines and requirements to ensure timely action.
  • Minute take meeting details and action items, including leading Agency, Penholder, turndown RFP acknowledgements.
  • Works closely with Penholder and provides management/support:
    • Schedule and organise initial meetings with key stakeholders to discuss the RFP’s scope, requirements, and potential response strategies.
    • Prepare and distribute meeting agendas to ensure focused and productive discussions.
