The Campus & Student Services Coordinator serves as a key operational and student-facing representative for GIA’s London campus and acts as a central point of coordination for student services, campus operations, front-of-house management, facilities coordination, and administrative support. Reporting to the Senior Manager, Admissions and Administration, this role plays an important part in ensuring a professional, welcoming, efficient, and well-managed campus environment that reflects the Institute’s standards and values.

Based at GIA’s new Canary Wharf campus, the role requires a highly organised and proactive individual capable of working independently, exercising sound judgement, managing competing priorities, and building strong working relationships with students, visitors, vendors, building management, contractors, and internal stakeholders.

  • Campus Operations & Front of House
    • Serve as the first point of contact for students, visitors, vendors, and stakeholders attending the campus, ensuring a professional and welcoming experience at all times.
    • Manage the reception and front-of-house function efficiently, handling telephone, email, and in-person enquiries in a timely and professional manner.
    • Ensure professional, efficient, and responsive campus experience for students and visitors.
    • Conduct pre-arranged and ad hoc campus tours and meetings with prospective students and applicants.
    • Coordinate and manage student swipe card access, including issuing, recording, monitoring, and deactivating cards as required.
    • Coordinate incoming and outgoing mail, courier services, and campus deliveries while liaising with building management and service providers.
    • Build and maintain effective working relationships with students, internal departments, building management, vendors, contractors, and external stakeholders.
  • Student Services & Campus Administration
    • Serve as the primary administrative point of contact for student day-to-day operational and administrative queries, escalating issues where appropriate.
    • Support student lifecycle processes including enrolment coordination, registration support, record-keeping, and accurate data entry within Workday and other company systems.
    • In coordination with the Admissions Team, prepare and issue registration confirmation letters for newly enrolled students.
    • Assist with walk-in enquiries from prospective students, providing accurate information regarding GIA programmes and directing enquiries appropriately.
    • Provide basic pastoral signposting and direct students to appropriate internal or external support resources when required.
    • Support continuous improvement of campus administrative and student service processes.
    • Maintain accurate student and administrative records while ensuring confidentiality and compliance with company standards.
  • Facilities & Operational Coordination
    • Act as the primary day-to-day liaison with Canary Wharf building management regarding facilities, maintenance, access, and operational matters.
    • Coordinate contractor and vendor access to the campus while ensuring compliance with building and security protocols.
    • Identify, report, monitor, and coordinate timely resolution of facilities and operational concerns impacting the campus environment.
    • Own the coordination and management of campus office supplies, inventory monitoring, and vendor ordering processes.
    • Exercise sound judgement in prioritising operational matters and escalating issues appropriately.
    • Support the effective day-to-day operation and presentation of the campus environment.
  • Events, Administration & Finance Support
    • Coordinate and support the planning and delivery of campus events including Open Days, graduations, student activities, and career fairs.
    • Assist with invoicing, expense coordination, and basic financial administration tasks using Workday and other internal systems.
    • Perform general clerical and administrative duties including filing, scanning, document management, and records maintenance.
    • Provide administrative and operational support to the wider Admissions and Administration Team as directed.
    • Contribute to operational efficiency initiatives and support ad hoc campus projects as required.
  • Technical Competencies
    • Professional front-of-house manner with a polished, confident, and approachable style appropriate to a corporate Canary Wharf environment.
    • Strong verbal and written communication skills with the ability to engage effectively with a diverse range of stakeholders.
    • Excellent organisational, coordination, and time-management skills with the ability to prioritise a varied workload in a fast-paced environment.
    • Ability to work independently, exercise sound judgement, and manage competing operational priorities with minimal supervision.
    • Self-motivated, proactive, solution-oriented, and capable of using initiative to resolve operational issues.
    • High attention to detail, particularly regarding data accuracy, student records, and correspondence.
    • Proficient in Microsoft Office applications including Word, Excel, Outlook, and PowerPoint; experience with Workday or similar systems preferred.
    • Ability to maintain confidentiality and exercise discretion at all times.
    • Knowledge of or interest in the jewellery, gemmology, education, or luxury sector is desirable but not essential.
  • Education & Experience
    • Educated to A Level standard or equivalent; relevant professional qualifications are advantageous.
    • Previous experience in student services, campus operations, office coordination, corporate reception, or administrative coordination roles, ideally within an educational or professional services environment.
    • Demonstrated experience working within a client-facing corporate or professional environment.
    • Experience coordinating multiple operational responsibilities and stakeholder groups simultaneously is highly desirable.
