Job Purpose
Reporting into the Parts Manager, the Parts Specialist will manage dealer enquiries on the Spare Parts Help Desk, oversee transportation efficiency to dealers, and ensure smooth execution and timely resolution of urgent demands, thereby contributing to efficient operations and customer satisfaction.
Main Responsibilities
- Spare Parts Help Desk
- Managing dealer enquiries via e‑mail.
- Supporting dealers with processes, communications, order timings, IT & financial processes.
- Supporting internal 3PLs on shipments & internal processes.
- Approving internal orders & maintaining an audit trail.
- Dealer Transportation
- Booking transport with relevant carriers.
- Managing returns, missed deliveries & cost effectiveness of transport.
- Managing dealer details from delivery addresses to key contacts.
- Inventory Management
- Monitor inventory levels, BIN locations, quarantine stock, and report issues.
- Collaborate with the team to ensure optimal stock levels and efficient inventory turnover.
- Documentation And Record Keeping
- Maintain accurate records of all transportation orders, deliveries, and returns.
- Update the inventory management system with returns & spare parts failures to ensure data integrity.
- Manage MOQ’s (minimum order quantities) on IT systems & what is physically in the warehouse, which may include repacking.
- Special Projects
- Take on special projects to support business needs.
- Other duties may involve purchasing, reporting and KPI tracking.
- Problem Resolution
- Identify and resolve any issues related to spare parts orders & transport and the Spare Parts Help Desk with support from the team.
- Prioritise and solve the demand for urgent orders to minimise disruptions and maintain customer satisfaction.
- Work closely with the Parts Manager to implement corrective actions and continuous improvement initiatives.
Education
Bachelor’s degree in business, finance, automotive technology, engineering, customer service or a related field.
Work Experience
Minimum of 3 years of experience in automotive spare parts or coordination, preferably within a dealer group, car brand company or distributor. Experience in a similar role within automotive.
Skills
