Supporting the Chief Technology Officer (CTO) and Product Management Team. We are seeking a highly organized and proactive Executive Assistant (EA) to provide comprehensive administrative support involving calendar management, travel coordination, meeting preparation, and acting as a liaison between executives and internal/external stakeholders. In addition, the EA will support the Product Management Team in various program-related administrative activities.
Roles and Responsibilities:
- Proactively coordinate CTO schedule and effectively manage CTO’s calendar for meetings and key priorities.
- Prepare presentations, reports, spreadsheets, meeting minutes and other information materials, including follow up of actions.
- Plan, schedule and organize business meetings and travel itineraries, ensure the validity of visas and passports, prepare and reconcile expense accounts; process the CTO’s travel expenses.
- Establish and develop strong relationships with the other EAs across the globe to achieve good coordination and effective activities planning.
- Organise large meetings (e.g. departmental meetings, project workouts), coordinating on- and/or off-site resources as required.
- Support the CTO and Product Management Team projects management and priorities and take charge of their follow-up to ensure that commitments are met within the allotted time.
Required Qualifications:
- You have proven experience in assisting executives leading global international and diverse teams.
- You have experience of Outlook, Teams, PowerPoint and Excel.
- Organized, rigorous, you are also an excellent communicator (English oral and written).
- Proactively drives improvement of day-to-day activities while demonstrating a behaviour of thinking ahead of the curve.
- Engage and implement small continuous improvement projects.
- You like working transversally and have a very good relationship, which facilitates your daily exchanges.
- You know how to work methodically, analytically, and make decisions in ambiguous situations.
- Ability to provide absolute security for highly confidential information and to maintain the confidentiality of extremely sensitive information.

- You have extensive and proven experience as executive assistant in multinational companies and matrix organization.
- Strong organizational skills and a keen sense of detail and precision.
- Resourcefulness and flexibility to manage unforeseen events for example travel disruptions.
