We are looking for a Works and Assurance Coordinator who will play a central role in coordinating, controlling, and assuring the full lifecycle of our works activities. You will ensure that accurate records are maintained within work management systems, supporting the smooth planning, permitting, execution, and closeout of works in line with internal, client, and statutory requirements.
What We Expect of You:
In this role, you will take ownership of coordinating work activities from initial request through to final completion, ensuring all information is captured and maintained accurately across relevant systems. You will keep data, documentation, workflow statuses, and evidence fully up to date to support effective planning and scheduling, while monitoring progress, identifying risks or delays, and escalating where required.
You will be responsible for conducting progressive assurance checks, verifying photos, test results, certificates, redlines, and all other documentation needed at each stage. Maintaining robust document control practices will be essential, including version control, naming conventions, retention, and ease of access across systems.
You will drive the timely closeout of works, ensuring all records meet internal, client, and commercial standards. This will involve regular communication and coordination with internal teams, contractors, and stakeholders to support smooth delivery. You will also assist with audits by ensuring documentation packs are complete, accurate, and audit‑ready, as well as providing regular reports, dashboards, and status updates drawn from system data.
Your responsibilities will include creating and maintaining documentation collections and ensuring compliance with PIA noticing and whereabouts obligations. You will review start‑of‑work forms, maintain high standards of documentation quality, support operational and delivery teams with administrative coordination, and contribute to continuous improvement across processes, assurance, and data accuracy.
What You Will Bring:
Ideally, you will bring experience with Depotnet, IQGeo, or similar work management systems, along with strong organisational and administrative skills. You'll be confident working with technical documents and assurance evidence, communicating effectively with stakeholders, managing multiple tasks, and maintaining accuracy. Solid IT capability, especially in Microsoft Office, and a proactive, problem‑solving mindset are essential.
