GBR Recruitment are delighted to be working exclusively with a market leading UK clothing brand, recruiting for an experienced Personal Assistant (PA) to assist the CEO. The company has been trading successfully since its inception a number of years ago and it is growing year on year, so now is a fantastic time to join them in this pivotal role.
You will have a strong PA (Personal Assistant), EA (Executive Assistant), Personal Secretary, Office Manager or Business Support Coordinator background and be experienced with working in a fast paced and highly demanding ever changing working environment, where no day is the same. Exceptional itinerary management, diary management, administration, coordination, scheduling and planning skills are must have skills for this role, along with strong project management and events management skills, plus the ability to prioritise extensive workloads and to be able to successfully multi-task at all times with no blips.
To be a real success in this role, you must have experience in managing both business and personal matters on behalf of an MD, CEO, COO or a similar C-suite Executive. Flexibility with working hours is a must in this position, in order to meet the needs of the CEO and to ensure all business and personal matters are dealt with effectively and efficiently.
PA Duties- CEO Gatekeeper - screening a large volume of calls and emails
- Providing full administrative support for the CEO
- Responding to emails and enquiries on behalf of the CEO
- Passing on key messages and information to the CEO
- Prioritising the CEO's daily activities and commitments
- Full diary management (meetings, UK and European travel, business and personal social events, TV appearances, Radio broadcasts (PR) and more)
- Supporting the CEO with day-to-day operations management
- Staff rota creation / management support during peak times
- Setting up meetings, producing meeting documents and refreshments
- Minute taking during meetings / typing up notes and sharing with the SMT
- Managing internal communications
- Producing PowerPoint presentations
- Typing up business reports
- Managing the CEO's personal engagements and personal activities / tasks
- Ordering and returning business / personal goods when needed
- Ensuring the site facilities are in order / presentable
- Previous experience as a PA, EA or similar (must have)
- Strong complex ever changing diary management skills
- Ability to handle large volumes of emails, calls and general correspondence effectively and efficiently, keeping the CEO's workload manageable
- Excellent communication at all levels and prioritising workloads
- Strong administration skills using Word, Excel, PowerPoint and other software / systems
- Event management and strong project management skills
- Strong scheduling, planning and coordinating skills
- Strong in putting together itineraries
- Flexibility for outside of standard hours working
- Happy to be on call
