About the team and role
Portfolio Office
You will form the GBG Portfolio Office working with the Transformation Director and Head of Group IT & Transformation. The GBG Portfolio Office has an enterprise-wide cross-functional remit covering strategically important initiatives (not solely IT projects). The GBG Portfolio Office maximises value from investment by focusing on the right strategic initiatives at the right time to realise the intended value at the committed cost.
The Transformation Portfolio Office Lead will set up and operate the Portfolio Office.
What you will do
- Establish the Portfolio Office (Setup Phase – Apr/May per roadmap)
- Stand up a central Portfolio Office function focused on strategic initiatives and value delivery.
- Lead the audit and documentation review of all existing initiatives to assess alignment to standards, completeness, and inclusion criteria.
- Define and publish Frame of Reference, Cadence, Mandatory Reporting Standards, and Enablers.
- Select and implement the Portfolio Tool, ensuring initial population of initiatives and visibility reporting.
- Portfolio Management Framework & Standards
- Develop, maintain, and continuously improve the simplified delivery framework, templates, minimum common standards, and documentation.
- Design and operate the “Front Door” process for intake, evaluation, and prioritisation of new initiatives.
- Maintain the Portfolio Criteria (value thresholds, strategic alignment, dependencies, cost thresholds).
- Governance & Decision Cadence
- Establish and run the cadence for the portfolio lifecycle including: Intake, Baseline evaluation, Prioritisation, Status reviews, Executive decision reviews.
- Ensure the Portfolio Office provides transparent tracking: value, cost, risks, issues, dependencies, progress, and cross‑functional constraints.
- Facilitate Executive oversight of Start / Stop / Continue decisions.
- Enforce that initiatives do not proceed until all required functional leaders sign off.
- Portfolio Reporting & Insights
- Produce high‑quality, clear, concise, management-level reporting to evidence initiative status, portfolio health, and support needs.
- Standardise status reporting using the selected tool and mandated minimum inputs.
- Provide dependency management, highlighting cross‑functional risks and resource constraints.
- Stakeholder Management & Leadership
- Partner with Executive Sponsors, Business Owners, PMs, Process Owners, and Functional leaders to ensure alignment, readiness, and realistic planning.
- Reinforce Sponsor and PM responsibilities and ensure initiatives have proper ownership, PM assignment, scope control, and required reporting.
- Influence and guide stakeholders to adopt consistent standards and value‑driven prioritisation.
Skills we are looking for
Essential
- Significant experience running or building a PMO / Portfolio Office in a transformation-heavy environment.
- Strong understanding of strategic portfolio management, investment decisioning, value case evaluation, and benefits realisation.
- Ability to design, embed, and govern standardised processes, templates, and frameworks.
- Strength in facilitating cross-functional decision making, especially with Executives.
- Expertise in portfolio tooling selection, setup, and reporting structures.
- Excellent communication skills, including ability to simplify complex themes into management-level reporting.
Desirable
- Experience in organisations undergoing strategic transformation or operating model redesign.
- Familiarity with agile and hybrid delivery methods, and capability to integrate them into a unified portfolio view.
- Experience in transformation offices, strategy offices, or enterprise PMOs.
