We're Hiring! Operations Administrator at GBA Logistics

Location: Birmingham | Full Time

Salary: £27,000 per annum, plus Bonus

The Role

As our new Operations Administrator, you will provide efficient administrative and customer service support to the Birmingham Operations team, ensuring the smooth day-to-day management of transport activities. The role is responsible for maintaining accurate data within transport management systems, monitoring and updating job statuses, processing purchase order reconciliations, supporting invoicing activities, and liaising with customers through telephone and email communications. This position plays a key role in delivering operational accuracy, maintaining system integrity, and supporting excellent service levels across the transport function.

Key Responsibilities For Operations Administrator

  • Provide administrative support to the Birmingham Operations team.
  • Maintain accurate transport, customer, supplier, and operational data within the TMS and external platforms.
  • Monitor active transport jobs, update job statuses, and support effective handovers between operational teams.
  • Deliver professional customer service by responding to telephone and email enquiries, shipment updates, and documentation requests.
  • Reconcile Purchase Orders, upload supporting information, and prepare completed jobs for invoicing.
  • Liaise with Operations, Accounts, customers, and suppliers to support efficient workflow and service delivery.
  • Maintain operational documentation, report discrepancies, and ensure company procedures and service standards are followed.
  • Support continuous improvement and carry out additional administrative duties as required.
