Gavin's Mill Community Project

We seek a Trustee/Treasurer to help grow our Charity and its associated business. That person will be required to monitor and maintain an overview of our financial affairs, ensure financial viability and take care that proper financial records and procedures are maintained.

What difference will you make?

We are very proud of the way Gavin’s Mill has developed since we opened nine years ago. Our local community has responded brilliantly to our efforts to bring Gavin’s Mill back to life, we have loyal and committed staff who work tirelessly to ensure our success, not to mention a magnificent band of volunteers who have supported us from the very start when they helped clear out and clean up Gavin’s Mill to make it ready for business. We have steered our Charity and its business through the choppy waters of the pandemic and are ready for the next big step in our development.

We know that the next chapter can be the most exciting yet but it is also likely to be the most challenging yet as we find ourselves in the middle of geopolitical uncertainty, not to mention a cost of living crisis. We recognise that we need specific skills to ensure Gavin’s Mill continues to develop and be successful, not least highly competent financial management.

What are we looking for?

In addition to the person specification for a trustee, we need our treasurer to have the following qualities

  • Fully qualified chartered accountant / financial qualifications and experience
  • Some experience of charity finance, fundraising and pension schemes
  • The skills to analyse proposals and examine their financial consequences
  • Being prepared to challenge and make unpopular recommendations to the board
  • A willingness to be available to staff for advice and enquiries on an ad hoc basis
  • Good communication and people management skills

In addition to the above statutory duties, each trustee should use any specific skills, knowledge or experience they have to help the board of trustees reach sound decisions. This may involve scrutinising board papers, leading discussions, focusing on key issues, providing advice and guidance on new initiatives, or other issues in which the trustee has special expertise.

But perhaps most important of all is sharing our values and enthusiasm for our Mill and our objectives going forward. The founding trustees of GMCP always held long term plans to ensure that our charity would continue when others have taken our place. Our ambition knows no bounds but we recognise our need for new blood and new skills.

What will you be doing?

Gavin’s Mill Community Project (GMCP) is a Scottish Charitable Incorporated Organisation (SCIO), charity number SC047198. It owns Gavin’s Mill (with a mortgage from Social Investment Scotland). It has a wholly owned subsidiary trading company, At Gavin’s Mill Ltd (AGM) which operates a Fairtrade shop and café at Gavin’s Mill. This trading company covenants its profits (when made) to GMCP, its parent charity.

In addition to the general responsibilities of a trustee, duties of the treasurer will include the following

  • Overseeing, approving and presenting budgets, accounts and financial statements
  • Being assured that the financial resources of the organisation meet its present and future needs
  • Ensuring that the charity has an appropriate reserves policy
  • Preparing and presenting financial reports to the board
  • Ensuring that appropriate accounting procedures and controls are in place
  • Liaising with any paid staff and volunteers about financial matters
  • Advising on the financial implications of the organisation’s strategic plans
  • Ensuring that the charity has an appropriate investment policy
  • Ensuring that there is no conflict between any investment held and the aims and objects of the charity
  • Monitoring the organisation’s investment activity and ensuring it is consistent with the organisation’s policies and legal responsibilities
  • Ensuring that the accounts are prepared and disclosed in the form required by funders and the relevant statutory bodies, for example the Office of the Scottish Charity Registrar (OSCR) and/or the Registrar of Companies
  • If external scrutiny of accounts is required, ensuring that the accounts are scrutinised in the manner required (independent examination or audit) and any recommendations are implemented
  • Keeping the board informed about its financial duties and responsibilities
  • Contributing to the fundraising strategy of the organisation
  • Making a formal presentation of the accounts at the annual general meeting and drawing attention to important points in a coherent and easily understandable way
  • Sitting on appraisal, recruitment and disciplinary panels as required
  • Work with the Financial Director of AGM to ensure financial stability of the organisation.
