Due to the development and expansion of our services, we wish to recruit enthusiastic and motivated individuals to join our Referral and Booking Management Centre, based in Bensham Hospital, Gateshead, with sites at Metrocentre, Gateshead. As an Appointments Administrator, you will provide a high quality, patient-focused appointment booking service within Gateshead Health NHS Foundation Trust, supporting trust-wide initiatives to ensure continued progression towards improving services to patients.

You will be responsible for utilising available outpatient and radiology capacity in a systematic way, considering clinical priority and length of waiting time to ensure patients' appointments are allocated according to clinical need and equitable waiting times as directed by local and national guidance.

Main duties of the job:
  • To provide an efficient and effective appointment booking service for outpatient and radiology appointments by means of modern booking systems, i.e., E-Referral Service, Pas systems, etc., whilst being customer-focused.
The successful candidate will have:
  • A good level of education.
  • Excellent communication and interpersonal skills dealing with sensitive issues.
  • Excellent organisational and time management skills with the ability to prioritise workloads.
  • Excellent customer service and telephone skills.
  • Ability to work effectively without direct supervision and as part of a team.
  • A flexible approach to working arrangements.
  • Ability to meet service need developments with the ability to work weekends and up to 8.00pm, 7 days a week on a rotational basis.
  • Experience of working in a busy, fast-paced office environment.
Job responsibilities:
  • To actively monitor available outpatient and radiology appointments on an ongoing basis and provide information and data to Line Managers, Clinicians, Operational Lead, and the Data and Information Department to reflect accurate waiting times.
  • To utilise available outpatient and radiology slots in a systematic way considering clinical priority and length of waiting time to ensure patients' appointments are allocated according to clinic need and equitable waiting times.
  • To manage own workload by prioritising tasks accordingly in order to meet waiting list targets and deadlines, i.e., ensure appointments are booked in order of priority dependent upon need to meet service waits, ad hoc waiting lists clinics to meet targets and routine waiting list targets.
Qualifications and experience:
  • Good level of education: 3 GCSEs grade A-C or equivalent NVQ or working towards or significant relevant experience in an administrative setting.
  • Experience of using a computer to input and retrieve information.
  • Excellent communication skills, verbal and written.
  • Experience of working with the public.
  • Experience of booking and appointment systems.
  • Understanding of confidentiality in an NHS environment.
