The Assistant Property Manager is responsible for conducting all business in accordance with Gates Hudson's established policies and procedures, all Federal, State, County and Local Fair Housing Laws, Americans with Disabilities Act, Fair Credit Reporting Act, and all other laws pertaining to multifamily housing.
Responsibilities:
- Conduct on-going training with office staff, including Fair Housing, leasing paperwork, YARDI, accounts receivable, Nexus accounts payable system, workplace safety, and any other necessary training.
- Exercise direct supervision over the entire property staff.
- Maintain a positive customer service attitude and promote goodwill among prospects, residents, coworkers, and contractors.
- Conduct periodic inspections with residents during move-in/move-outs.
- Review all notices to vacate to determine the cause of the move-out and make every attempt to save a potential move-out.
- Address resident concerns and requests promptly to ensure satisfaction with management.
- Consistently implement community policies.
- Welcome and show property to prospective new residents, handle incoming phone calls, and complete appropriate paperwork.
- Assist in the preparation of the annual budget and ensure adherence to established budget guidelines throughout the year.
- Ensure routine expenditures align with the property's owner-approved budget, control purchases, and utilise approved vendor lists.
- Actively maintain and report monthly variances and narratives.
- Communicate with vendors/contractors regarding work scheduling, billings, vendor relations, and certificates of insurance.
- Process, approve, and submit all invoices to the Corporate Office for payment weekly.
- Maintain and reconcile the petty cash account.
- Perform additional duties as assigned, with some weekends expected.
