The Business Support Manager is a member of the Management Team and is responsible for the day‑to‑day management of the office facilities and the administration team, ensuring efficiency, cost effectiveness, and high standards of customer care. The role requires extensive experience with organisational processes and procedures.
Responsibilities
- Implement administration policy and procedures.
- Oversee facilities management to maintain a safe, functional, and well‑presented working environment.
- Order office supplies and stationery in line with company accounts.
- Inform Directors and Management of procedural reviews and trend insights.
- Liaise with HR on recruitment, appraisals and other HR matters.
- Lead, monitor, and manage the Administration Team to meet organisational goals.
- Maximise use of administrative resources to achieve quality, service standards and productivity levels.
- Report monthly on workflow and team performance to Directors and Management.
- Facilitate and support training of the administration team to maximise achievement and relationships.
- Conduct weekly administration team meetings.
- Implement the admin structure plan within the department with new technical staff.
- Introduce new staff to the administration team as part of the induction procedure.
- Answer telephone calls and take clear, concise messages.
- Perform secretarial duties including audio typing, scanning and photocopying as required.
- Update the company’s Business Management System (BMS) and publish documents efficiently.
- Respond to emails within established service standards.
- Support Directors in producing and distributing procedural documentation that meets agreed specifications, quality, and service standards.
- Produce correspondence, reports, meeting documents, confidential papers and presentation material where required.
- Work with the Health & Safety provider to maintain current policies, procedures and documentation; ensure staff are informed and training arranged.
- Manage company portals, ensuring all documentation is relevant and status maintained.
