Job Summary

Reporting to the Project Leader, you will work as part of a team to continuously strive to improve performance within the department and ensure that the correct measures, systems, and controls are in place.

The job roles involves for managing large volumes of data, supplying labels & reports to Operational Departments daily, updating passenger figures for forecasts and processing files for purchasing to place orders to suppliers.

This is a shift based role based on 4 on 2 off shift patterns requiring flexibility to work weekends. Earliest shift starts are at 0530 and latest shift end times are 2200 hrs.

Main Duties & Responsibilities

Administrative Tasks

  • Stock Control for Stationary Order – Set Up Weekly Consumption Orders
  • Feedback on work in progress and problems to the OPC Data Analyst
  • Attend department, operational and customer meetings as required

GG ERP Tasks (SACS / SAP)

  • Input flight information in GG ERP with passenger loads
  • Updating Customer Portals
  • Collating, entering and connecting Sales Data and ad-hoc requests
  • Updating the GG ERP i. e.: aircraft changes, increase / decrease
  • Updates and communication with Operational Departments
  • Creating and maintaining extra flights in the GG ERP
  • Action all non-scheduled changes and instructions from customers accurately and in a timely manner.
  • To assist the Units, customer services and Invoicing in all data queries
  • Responsible for Departure Checks (D+1), Production file checks and Live Loaders List
  • Responsible for maintaining Wastage for correct invoicing
  • Responsible for communication with external customers i. e.: Station/OPS Manager
  • Close previous days flights for Finance and Accounts in GG ERP
  • Initiate manual / import of Passenger & Special meals for ALL international customers
  • Print Labels for several departments with passenger and meal information
  • Printout passenger figures from customer portals and update GG ERP system
  • Generate Loaders list & Delivery notes for user departments from GG ERP
  • Manage all flights from -48 Hrs to time of departure
  • Printing of Boarding Bills for FFC Final Close Figures
  • Ensure Label Print Quality is of Good Standard on Labels

Qualifications / Experience

  • Previous experience of managing large volumes of data accurately.
  • Previous experience of working with Microsoft Excel and Microsoft Access is essential.
  • Previous experience of working in a role where strong attention to detail and accuracy was essential.
  • Other Skills: (Certification, Licenses and Registration)
  • Excellent organisational skills with a strong attention to detail
  • Must always demonstrate integrity, confidentiality, and professionalism
  • Ability to work efficiently using own initiative to resolve issues
  • Ability to build relations and manage diverse teams
  • Numerate and able to understand commercial / financial implications.
  • Effective verbal and written communication skills in English; able to communicate at all levels
  • PC Literate with good working knowledge of Microsoft Applications (Outlook, Word, Excel)
  • Ability to work under pressure and to tight timescales, prioritising as appropriate
  • Proactive and positive/flexible attitude
