To provide comprehensive operational support for PCM, ensuring efficient, accurate, and confidential management of client records and administrative tasks.
Key Responsibilities
- Administrative Duties
- Act as a primary point of contact for residents to allocate appointment timeslots, cancel/reschedule appointments, provide necessary updates and address routine queries in a professional and empathetic manner.
- Forward call residents to schedule appointments to ensure access.
- Respond promptly and professionally to text messages and emails, prioritising urgent or time-sensitive matters.
- Perform general administrative tasks including typing, scanning, photocopying, emailing, and mail handling.
- Maintain well-organised filing systems and databases.
- Client & Team Liaison
- Coordinate effectively with contract managers and inspectors.
- Handle resident communications across multiple platforms, including phone, email, voicemail, and text.
- Data & Document Handling
- Enter and update client data within the FSM (Field Service Management) system.
- Compile and send reports; respond to requests for information.
- Build and review basic reports using inspection results and internal data.
- Maintain a high level of accuracy and attention to detail when reviewing documentation.
- Operational Support
- Provide general support across the Operational Support Team as needed.
- Prioritise tasks effectively while managing multiple responsibilities simultaneously.
