Role Purpose: The Conference Planner will support the creation of world class events by creating and delivering a seamless registration, Peer to Peer (P2P) and customer experience to all clients. The candidate will be responsible for flawlessly delivering and executing on assigned virtual and in-person program responsibilities by managing all details related to registration, P2P and customer experiences.
What you will do:
- Be an integral part of the Gartner C-Level Communities (GCC) Center of Excellence responsible for creating a registration, P2P and customer experience which is thoughtful and consistent.
- Be part of a cross-functional team that is responsible for creating registration journeys that are deliberate, personalized, and engaging.
- Drive continuous elevation, improvement, and innovation of the registration experiences (delegate, sponsors, and associates).
- Provide input for attendee communications and MyEvanta.com, as well as onsite branding, build and journey related to the registration experience.
- Travel onsite to GCC events and lead as Registration & P2P (approx. travel 20% - 25% per year, domestic and regional).
- Communication and collaboration across GCC business to ensure seamless delivery of first-class virtual town halls and in-person conferences.
- Actively participate in the process of reviewing, enhancing, and executing event features and programs (virtually and in person), analysing attendee feedback to ensure we are delivering exceptional, relevant experiences as it relates to Registration and P2P, ensuring alignment with the company objectives and vision.
- Frequent review and suggested improvements of team process documents and internal communication tools for both live and virtual events, including best practices for registration, P2P and customer experience.
- Participation in projects and processes that will streamline the way we deliver our events, aligned to our objectives.
- Lead in onsite role requirements for all meetings, ensuring the teams have all required registration, P2P and additional customer experience materials.
- Support vendor relationships as it relates to order fulfilment, inventory, purchases and payment and budgets (including forecasting).
- When required, partner with the Community Program manager in customer tracking to minimize event attrition.
- Schedule Peer-to-Peer meetings and communicate with CPMs accordingly.
- Answer support requests submitted through GCC App.
- Provide functional expertise to assess potential operational impacts on all departments.
- Drive internal engagement through effective communication and training.
- Support training presentations for registration, P2P and Phoenix related topics such as session scanning, badge printing, Peer-to-Peer and support requests.
Secondary Responsibilities:
- Support Gartner Destinations Conferences as needed (up to 5% travel).
- Effective relationships with other business units to inspire confidence in global teams and all of Gartner.
- Attendee and sponsor retention.
What you will need:
- Bachelor’s degree preferred.
- 1-3 years of relevant experience in event/conference planning, hospitality, business, administration or related fields.
- Multi-tasking, maintain composure and ability to manage multiple deadlines in a fast-paced environment.
- Strategic and client focused with great customer service skills and strong executive presence.
- Proficiency in the MS Office suite including Outlook, Word, Excel, and Power Point.
- Experience of database management, to include the production of reports out of database.
- Highly organized and high attention to detail.
- Strong written and verbal communication skills.
- Proven success working in a collaborative environment.
- Self-motivated and self-sufficient within a hybrid environment.
- Ability to build and maintain relationships with a high degree of professionalism.
- Ability to innovate and come up with new ideas, that will help us to continually improve our events.
- Ability to work as part of a team, but also work on events individually.
- Willingness to travel regionally and internationally (ad-hoc, when needed).
- Understanding and appreciation of technology.
- Someone who can run with a brief and bring ideas back to the table.
- Project management experience.
