Overview

About the role: The primary focus of this role is to support the conference resource allocation and travel management process, using a data-driven approach for 45+ global Destination Conferences portfolio. This person will support the Resource & Travel team and will project manage the conference allocation (staffing) setback schedule, oversee the team inbox, support in tool & report maintenance, and document / create processes to streamline the allocation process. It is important for this individual to learn the roles & responsibilities across all functional teams, including global Conferences, HR, IT, Global Security, etc. The day-to-day responsibilities require experience and comfort working with Microsoft Excel. This self-starter should continually seek opportunities for improvement to help the organization evolve and scale effectively in a changing environment.

What you will do

  • Support in the project management of the conference resource allocation process, keeping budget and travel guidelines in mind across 45+ conferences globally.

  • Oversee inbox management, aligning responses and actions with the overall strategy for conference allocation planning; train new associates on inbox management and create / maintain inbox related processes and documentation.

  • Create & oversee a setback schedule for each iteration of allocation & travel review planning (twice per year).

  • Create & maintain documentation of all existing and future Resource & Travel team processes.

  • Manage the resource gap tracking process, partnering with the Staffing team to ensure all gaps are documented and filled appropriately.

  • Support in the build out and maintenance of all resource allocation tools on annual and bi-annual basis, ensuring tool creation timelines align with the setback schedule.

  • Prioritize, improve, and manage multiple tasks in a data-driven, high-performance environment.

  • Assist in analysing conference allocation and utilization data with the ability to focus on team, region, and portfolio to identify trends and opportunities for future projections and resource requirements.

  • Support in building documentation and presentations to be shared with senior leadership.

What you will need

  • Bachelor’s degree preferred

  • 5-7 years’ experience in Travel Planning, Resource / Headcount Planning, Project Management, Consulting or Administration.

  • Strong data & analytics skills to support and monitor spreadsheets, dashboards, and reporting.

  • Travel coordination and/or conference or event experience preferred.

  • Exceptional collaboration skills with proven ability to build partnerships across lines of businesses.

  • Excellent oral and written communication skills; demonstrated ability to speak/write clearly and persuasively.

  • Ability to efficiently prioritize and plan work activities in a dynamic work environment.

  • Consistent demonstration of integrity, collaboration, no-limits mindset, objectivity and delivering results.

  • Fully competent in Microsoft Office, especially Excel and PowerPoint.

  • Curious and inquisitive with exceptional problem-solving skills.

  • Willingness to travel approximately 20-25% of the time (regionally and internationally)
