Dynamic small team headquartered in Shirley is expanding

Garrison Property Services is a family-oriented, fast-paced, solutions-focused environment based in the heart of Shirley, a short walk from the Parkgate Shopping Centre. We have a collaborative approach towards work in a friendly environment. This is a 100% office-based role in letting and managing property remotely, unlike a traditional letting agency. The landlord client base is small but operates on a portfolio basis so there are a limited number of landlord relationships to manage with a handful of key stakeholders, who are also office-based.

Overview
We are seeking another dedicated and proactive Property Coordinator to oversee the daily lettings operations of our (primarily) residential and (few) commercial properties. The ideal candidate will possess superb administrative skills, exceptional phone etiquette, and a calm temperament including being cool under pressure. This role requires proficiency in property management software/CRMs, (experience of Coho is a bonus), along with a keen attention to detail in data entry and day-to-day office tasks.

Duties

  • Manage tenant relations, addressing inquiries and resolving issues promptly to ensure a high level of tenant satisfaction.
  • Oversee the letting process, including marketing properties, organising viewings, and processing applications.
  • Maintain accurate records of all transactions, communications, and property-related documentation through data entry in our CRM system (Coho).
  • Collaborate with maintenance contractors to coordinate repairs and improvements while ensuring minimal disruption to tenants.
  • Prepare reports on property performance, occupancy rates, and financial metrics for management review.
  • Arrange all required safety inspections and certification in line with current legislation.
  • Ensure routine and additional property visits and checks are carried out in the required time frame.
  • Establish whether liability for work is landlords or tenants from inspection reports.
  • Arrange check in and check out inventories with third parties and tenants.
  • Ensure that the relevant payments are instructed promptly and properly regarding contractors, deposits and landlord bills.
  • Speak with and administrate utilities and council tax as required.
  • Take ownership of the void property processes and advertising property ready to market.
  • Liaising with contractors and surveyors for works and valuation purposes as required.

Experience

  • Previous experience in property management or a related field is essential.
  • Proficiency with Coho or similar property management software is highly advantageous.
  • Strong administrative skills with a focus on organisation and attention to detail.
  • Excellent phone etiquette and communication skills for effective tenant and property owner interactions.
  • Ability to work independently while managing multiple tasks efficiently in an office environment.

Job Type: Full-time, 40 hrs/week

Pay: £28,500.00-£32,000.00 per year
