The Role
In this role, you will be involved in a wide range of administrative and legal support tasks, including opening and maintaining files, preparing correspondence, managing key dates and deadlines, arranging appointments, supporting billing and expenses, and assisting with Employment Tribunal matters such as bundles, disclosure and hearing preparation. We are looking for someone with previous legal support, secretarial or professional services administration experience. Experience within employment law or tribunal work would be helpful, but it is not essential if you have strong organisational skills, excellent attention to detail and a positive and pro-active, can-do approach. You will need to be a confident communicator, comfortable using IT and case management systems, and able to manage changing priorities while building positive working relationships with colleagues and clients.
Your responsibilities will include:
- Opening, organising, maintaining and archiving employment files using our case management system, ensuring documents and client records are accurate, up to date, easy to retrieve and managed in line with our compliance requirements.
- Handling a variety of day-to-day administrative tasks, including emails, telephone calls, billing records, expenses, scanning, printing, document formatting and general matter administration.
- Proactively supporting the Employment Team and, where required, the wider Business Team by helping lawyers prioritise urgent work, manage diaries, prepare for meetings and keep matters progressing efficiently.
- Arranging client appointments, gathering background information and documents, and acting as a professional and approachable point of contact for routine administrative updates and queries.
- Taking ownership of administrative follow-up, including chasing outstanding information, documents, billing payments and queries.
- Keeping track of limitation dates, hearings, meetings, filing deadlines and other important stages in each matter.
- Preparing correspondence for clients, colleagues, contacts and other parties.
- Supporting Employment Tribunal matters by tracking key dates, assisting with disclosure, arranging Counsel, preparing hearing bundles using Bundledocs and organising documents for preliminary and final hearings.
- Assisting the Employment Team with marketing updates and business development initiatives.
- Helping to ensure all matters are actively managed in accordance with our compliance obligations.
- Handling sensitive personal and workplace information with care, maintaining confidentiality and following data-protection and professional-conduct requirements.
About You
We’re looking for someone who is friendly, reliable and proactive, who enjoys working as part of a team and communicates confidently with a wide range of people. You’ll be organised and adaptable with the ability to stay calm when priorities change and a genuine interest in working within a busy professional environment.
Ideally, you will have:
- Previous assistant or secretarial experience within a legal environment, or a similar administrative role within professional services.
- Experience supporting employment law work or tribunal matters would be helpful, but is not essential if you have strong legal support experience and are keen to learn.
- Excellent written and verbal communication skills.
- Strong organisational skills, with the ability to juggle multiple priorities and provide support to several individuals.
- Confidence using IT systems and case/document management software.
- A positive, proactive can-do attitude and a willingness to get involved and help wherever needed.
- A collaborative approach and the ability to build effective, trusting relationships with clients and colleagues.
- Excellent attention to detail and a commitment to delivering work to a high standard.
