We are looking for an experienced and highly organised Senior Bid Co-ordinator to join our central Marketing team. This role will lead the end‑to‑end management of some of our most important bids across both the public and private sectors, helping to secure new business opportunities that align with our strategic priorities.

The successful candidate will be responsible for coordinating high-value and complex public sector submissions, managing bid programmes, engaging with key internal stakeholders and ensuring that responses are compelling, compliant and delivered on time. While the role will have a strong focus on public sector submissions, the successful candidate will also support private sector bids, bringing the organisation, rigour and programme management skills developed through public sector bidding to strengthen our approach across a wider range of opportunities.

Alongside bid delivery, the role will also support the ongoing development and maintenance of the central bid library, helping to improve the quality, consistency and efficiency of future submissions. This role would suit either an established Senior Bid Co-ordinator looking to step into the limelight and work on some of the firm’s most strategically important bids, or a capable Bid Co-ordinator who is ready to take the next step in their career.

Working closely with the Business Development Director, an experienced bid manager, the successful candidate will benefit from hands‑on support, advice and guidance while gaining exposure to high‑profile bids and working with some of the firm’s key partners. Key Responsibilities

  • Manage the full bid lifecycle from initial opportunity review through to submission for the most strategically valuable bids across the public and private sectors.
  • Review tender documents and client requirements to ensure submissions are compliant and aligned to evaluation criteria.
  • Develop bid plans using established tools, submission programmes and responsibility matrices to ensure deadlines are met.
  • Chair bid kick‑off meetings, review meetings and progress meetings with internal stakeholders.
  • Manage input from multiple contributors and ensure version control throughout the bid process.
  • Identify weaker bid responses and work with the BD Director to edit and improve.
  • Assist the BD Director in conducting post bid analysis and post-bid feedback.
  • Monitor and log frequently asked questions on common themes such as ESG and H&S on the central questions tracker.
  • Oversee final submission preparation, including formatting, proofreading and portal uploads where required.
  • Support bid‑related reporting, lessons learned and continuous improvement activity.
  • Assist with maintaining and updating the central Bid Library, ensuring content remains current, relevant and easy to access.
  • Identify content gaps and work with content team to develop new material for future use.
  • Manage the firm’s profile on public sector portals including ensuring certificates and information is up to date (Find a Tender, Proactis, Delta, Sourcedogg etc).
  • Promote best practice in bid management and contribute to improving bid processes, tools and templates across the team.

About You

  • Demonstrable experience in bid management, including leading complex bids from inception to submission, ideally within a professional services, consultancy, construction or built environment setting.
  • Proven experience in managing complex public sector bids from start to finish.
  • Strong understanding of public sector procurement and tender processes, with experience of private sector bidding also desirable.
  • Excellent project management and organisational skills, with the ability to manage multiple deadlines and priorities.
  • Good working knowledge of procurement portals.
  • Experience of working with senior stakeholders and coordinating contributions from a wide range of teams.
  • High attention to detail and a strong focus on quality and accuracy.
  • Ability to work calmly and effectively under pressure, particularly during critical submission periods.
  • Good commercial awareness and an understanding of what makes a winning bid.
  • Experience of using InDesign would be useful or a willingness to develop skills in this area.
  • Proficient in Microsoft PowerPoint and other core digital tools relevant to bid production.
