GarancieChex is seeking a Background Screening Analyst to deliver accurate, timely and compliant background screening services for clients and candidates. The role involves managing candidate case files, verifying information, liaising with candidates, clients and third parties, and completing screening activity in line with client requirements, company procedures, data protection obligations and service standards.

Key Responsibilities

  • Manage candidate case files from initiation through to completion, ensuring completion within due dates and turnaround times.
  • Review candidate information and documentation for completeness, accuracy and suitability.
  • Send, track and chase reference, verification and supporting information requests.
  • Record case actions, updates, findings, conclusions and screening results within the case management system.
  • Administer criminal record checks and other screening checks in accordance with applicable procedures.
  • Prepare final screening reports and submit them for review or completion as required.
  • Where authorised, issue completed reports to clients in accordance with agreed procedures.
  • Communicate with clients and candidates to provide updates, resolve queries and manage overdue cases.
  • Escalate overdue, complex, sensitive or potentially adverse cases to the relevant senior colleague or manager.
  • Support colleagues by providing case cover when required and contribute to continuous improvement activity.

Compliance, Quality and Data Protection

  • Handle personal data securely and in accordance with UK GDPR, the Data Protection Act 2018 and company policies.
  • Ensure candidate information is accessed, processed and shared only where there is a legitimate business need.
  • Follow documented procedures for consent, identity verification, screening checks, escalation and reporting.
  • Maintain accurate audit trails and escalate potential data breaches, complaints or compliance concerns promptly.

Skills and Experience

  • Good computer skills, including Microsoft Office, email, online systems and internet-based research tools.
  • Strong written and spoken English, excellent attention to detail and strong organisational skills.
  • Ability to manage multiple cases, follow procedures consistently and work independently while escalating where appropriate.
  • Persistent and practical approach to resolving incomplete, unclear or conflicting information.
  • Professional and courteous communication style when dealing with clients, candidates and third parties.

Qualifications

  • Essential: minimum GCSE standard, or equivalent, in English and Maths, plus good general IT literacy.
  • Desirable: experience in background screening, referencing, compliance, recruitment or HR administration, customer service, vetting, regulated services or professional services.
