We are Sean and Helen, the team behind two of London's most trusted headshot brands. Gannon Studios serves the corporate world, working with City professionals, financial institutions and businesses across the UK with over 1,000 five-star Google reviews to our name. Lumosia serves the performing arts community, helping actors at every level present themselves at their very best. Both brands share a purpose-built studio in the heart of the City of London, minutes from Bank Station, and the same commitment to making every single person in front of our camera look and feel fantastic. We are a small, friendly and ambitious team and we are looking for a talented administrator to join us in a broad, hands-on role that sits at the heart of our day-to-day operation.
The Role
This is a varied and genuinely important role within a busy creative studio. You will be responsible for managing the full image workflow from raw files through to client delivery, as well as supporting a wide range of administrative and outreach tasks. No two days will be quite the same.
Key Responsibilities
- Image Workflow and Post-Production
- Managing the full image workflow from raw files through to final client delivery
- Culling, organising and exporting images from Capture One
- Setting up and managing client galleries via Pixieset
- Coordinating client image selections and communicating turnaround timelines
- Editing the final images ready to send to client
- Maintaining a clean and organised file management system
- Quality checking all deliverables before client delivery
- Administration and Client Communications
- Managing day to day studio communications including emails and enquiries
- Supporting the booking and scheduling process for studio and onsite shoots
- Maintaining and updating client contact databases
- Assisting with outreach campaigns to prospective clients across target sectors
- Preparing quotes, proposals and follow up correspondence
- General office administration including filing, invoicing support and supplier liaison
- Marketing and Outreach Support
- Researching and compiling contact lists from target sectors and locations
- Assisting with targeted email outreach campaigns to prospective corporate clients
- Supporting social media scheduling and content coordination where required
Skills and Experience
Essential
- Strong organisational skills with excellent attention to detail
- Confident written communicator with a professional and warm tone
- Comfortable managing multiple tasks and priorities simultaneously
- Proficient in Microsoft Office including Word, Excel and Outlook
- Ideally experienced with using Apple Mac as a main computer
- A proactive, self-motivated attitude with a willingness to get stuck in
- Some previous experience in an administrative, studio or creative role
Desirable
- Experience with image management or photography workflow software
- Familiarity with CRM systems or client database management
- An interest in photography, creative industries or professional services
- Experience with email outreach or business development administration
