Responsibilities:
- Assist to process the application of site entry passes for all workers and staff.
- Implement Project Document Management System and processes in accordance with company policies.
- Ensure document submissions are in accordance and compliant with project document formats and requirements.
- Establish and maintain an efficient correspondence system.
- Implement workflows and collate issue and receive documents in accordance with project requirements for the development, review and approval of design documentation and all other procedures, instructions, product certification and records that are subject to review and approval.
- Record issues and track location of control documents and drawings.
- Ensure that current versions of all documents subject to revision are maintained and that the most up-to-date versions are distributed to the required project parties.
- Coordinate the storage and archiving of project and organisational records.
- Ensure that all documents are managed with strict confidentiality.
- Issue letters and receipts related to the documents in circulation.
- Provide administrative duties to onsite project team.
- Maintain effective communication with internal and external stakeholders.
- Maintain an effective correspondence filing system.
- Coordinate meetings and other functions as required.
- Handle all administrative duties as assigned.
Requirements:
- Diploma in Business Studies / Administration / Management or equivalent.
- At least 5 years’ experience in a document control position in construction industry.
- Proficient in Microsoft Office Application (Word, Excel, Power Point), Adobe Acrobat.
- Strong communication and interpersonal skills.
- Ability to multi-task in a fast paced and dynamic environment.
- Excellent team player, good interpersonal skills and a “can-do” attitude.
- This is a site-based position.
