Location - Inverness-Shire
Purpose of the role:
Provide consistent support to project teams by ensuring that design and contemporary information/documentation are captured within our systems for ease of retrieval by site teams.
What will you be doing:
- Drive Information Management (IM) Compliance within your project(s)
- Ensure system aligns with our BMS.
- Engage/Liaise with H&S/Quality Teams regularly, i.e. Monthly.
- Attend design team meetings to ensure compliance within the systems are met.
- Ensure company and project information management protocols/procedures are followed, including the IMP and BEP.
- Create and ensure all registers are up to date and completed correctly prior to internal and external auditing.
- Ensure that change control of revision status is recorded, easily traceable and identified within the company systems.
- Ensure that latest revision of live design documentation is available and distributed to relevant discipline role within the systems.
- Ensure all design information is controlled and maintained in a methodical manner and issued within set timescales.
- Issue reports to internal/external parties when required.
- Ensure consultants and sub-contractors are invited into our system(s) and attend a training day.
- Daily Report issued on New/Revised information to site team.
- Monthly system reports on Security Group, System usage etc.
- Contribute to Continuous improvement of the system(s).
- Attend a site awareness training day.
- Any other reasonable tasks as directed by your Line Manager.
Administration:
- Capture data from other systems used on the project to our company system(s) i.e. Contract management tool.
- Confirm/Support the Project Team with the workflow process, RDD, RFI and Change Control within our system(s).
- Carry out QA check within agreed Workflows.
- Support the Commercial and Design Managers with linking information to virtual containers within our system(s).
- Invite and revoke internal and external users to and from our system(s) when required.
- Setup document containers for external parties within our system(s) when required.
- Manage distribution groups.
- Add and configure containers within our system template where applicable.
- Create matrix/notification transmittals when required.
- Generate reports when required.
- Audit regularly to ensure compliance with the company BMS.
- Ensure design documentation is uploaded and named consistently within our system(s).
- System champion for project team(s), supporting users when required.
- Print/organise print service for drawings when required.
- Liaise with Design and Site teams regarding Handover information/documentation.
- Report to Project Management Team on progress monthly.
- Any other reasonable tasks as directed by your Line Manager.
About You:
- Main Contractor experience is desired.
- Some knowledge and understanding of the Document Control process at operational level.
- Some knowledge and experience of using Viewpoint for Projects and Field View at operational level is desired.
- IT literate and a good understanding of Microsoft and Viewpoint applications.
- Ability to prioritise workload when managing multiple contracts/tasks.
- Ability to work accurately under pressure to meet project targets.
- Great attention to detail.
