Personal Assistant / Administrator

An exciting opportunity has arisen for a Personal Assistant/Administrator to join our team at our Head Office, based in Enfield.

Please note that there is no hybrid working due to the nature of the role, and it will be office-based 5 days a week.

Galldris Services is seeking an energetic and enthusiastic individual to join the Head Office as the Personal Assistant/Administrator to the Managing Director, responsible for handling day-to-day activities, including Office Management and Administration duties.

Key Accountabilities to include, but not limited to:

Office Management

  • Manage the smooth running of the office. Manage the purchase and maintenance of office equipment, facilities, and services. Monitor stock levels of refreshments and stationery and replenish, as necessary
  • Management of the office cleaner
  • Maintain office systems, including data management and filing
  • Liaising with contractors to ensure office maintenance is kept in good condition and contracts are kept updated. Monitor overall facility cleanliness and proactively identify areas that need attention

Reception backup

  • Lunchtime cover
  • Handle incoming and outgoing mail. Answer telephone calls and emails, and route these to the appropriate person
  • Ensure that records are kept up to date, including contact lists and the directory of office contacts
  • Manage day-to-day mails, emails, enquiries, deliveries, and place orders when necessary

PA to Managing Director (MD)

  • Provide administrative assistance. Process correspondence, ensuring that incoming correspondence is dealt with
  • Act as the primary contact for general enquiries and social events, and coordinate meetings, including booking external venues, sending out reminders, and setting dates. Organise complex travel and accommodation bookings, as necessary
  • Manage ad hoc projects
  • Manage diary and schedule meetings and appointments. Plan and organise meetings. Take action points and write minutes. Preparing papers for meetings
  • Support the Senior Management Team with travel and bookings
  • Undertake other duties commensurate with the level of this position

Administrative Duties

  • Updating of the live project list
  • Obtaining invoices for accounts
  • Managing the football memberships and games
  • Ad hoc tasks for the CEOs
  • Manage the company’s social media pages
  • Admin for the commercial department for contracts

Skills / Experience

  • Proven and demonstrable administration experience within an office-based environment
  • Fully IT literate
  • Excellent organisational and planning skills
  • Excellent communication skills, both verbal and written
  • Ability to deal with clients & internal staff. Ability to work on one\'s own initiative
  • Meticulous, organised, pro-active with a positive attitude and willing to learn
  • Self-motivated and enthusiastic. Meticulous attention to detail
  • Knowledge of office procedures and protocols
