Your New Opportunity
Galbraith is a diverse multi-disciplinary Firm of Property Consultants with offices across Northern England and Scotland, specialising in the rural, forestry, energy, commercial, building consultancy and residential sectors with a growing presence in the emerging Natural Capital sector.
We are looking for a proficient Personal Assistant to join our team and provide support to the Head of Agency and Castle Douglas Rural Team. This role provides the right person with an opportunity to engage in work across the region and further afield dealing with clients, contractors, tenants, colleagues and general queries.
The Head of Estate Agency manages the Residential Sales and Lettings Business Stream across the Firm's 13 offices. Our rural team specialises in professional advice to clients with estate, farm and forestry assets. Our rural surveyors provide estate management services, valuations & AMC finance, farm and estate sales and other professional land agency work. We serve a number of private clients across Dumfries and Galloway and further afield.
The role is offered on a full time basis with an office base of Castle Douglas.
Your New Role
This role will provide a full range of PA support to the Head of Agency and also to the Rural Team based within the office.
Key responsibilities include, but are not limited to:
- To act as a first point of contact for clients, staff, contractors, and other visitors to the office, taking a professional and friendly approach at all times.
- Managing Head of Agency’s diary and inbox in an efficient and confidential manner, corresponding on behalf of the Head of Agency where appropriate.
- Assist Head of Agency with preparation of monthly reports for the Finance and Management Committee. This will include information relating to clients work, fees, compliance, and the Firm’s business plan.
- Assist the Head of Agency and Rural team in preparation for meetings and events.
- Carrying out any other reasonable duties falling within your capabilities, as the needs of the firm dictate.
- Conduct a range of Rural management duties including assisting in the preparation of documents, being a key point of contact for clients and ensuring all records and files are kept maintained across all systems.
The Successful Candidate
The successful candidate will have the ability to communicate effectively at all levels with internal and external clients, both verbally and in writing. You will be highly motivated, have proven organisational skills and demonstrate meticulous attention to detail. Proficiency in Microsoft Office (Excel, Word, PowerPoint) is essential, along with strong numeracy and literacy skills. This role requires you to manage competing workloads whilst meeting deadlines therefore you should be able to work using your own initiative and thrive in fast-paced environments.
Ideally, you will also have previous experience working in a professional environment and have experience using Rural Payment Portal and management software’s such as Property Terrier System. Having an understanding of land agency, agriculture, and the land and property market is also advantageous.
The role may involve travel to other offices, including the potential for overnight stays, and therefore flexibility is essential. You must also have a full driving licence and your own vehicle.
