Purpose of the Role
The External Stakeholder Coordinator supports the effective delivery of stakeholder engagement activities across the organisation. This includes assisting with volunteer and sponsor event coordination, managing day-to-day communications, and maintaining positive relationships with external and internal stakeholders. The role provides administrative and operational support to the department, ensuring smooth delivery of engagement activities and accurate record-keeping.

Key Responsibilities

  • Stakeholder Support & Communication
    Support the delivery of engagement activities with GAIN’s stakeholders (principally volunteers, sponsors, and partners). Handle routine communications with external contacts, responding to general enquiries promptly and professionally. Maintain accurate stakeholder records in organisational systems (e.g. CRM, Teams, shared drives). Provide updates and information to the team and line manager as required. Prepare and send out standard communications such as event invitations, follow-up emails, and thank-you notes.
  • Event Coordination
    Assist with planning and delivery of stakeholder events, including volunteer engagement activities, sponsor events, and networking sessions. Coordinate logistics such as venue bookings, catering, materials, and attendee lists. Support on-day event delivery, ensuring a positive experience for participants. Collate attendee feedback and contribute to post-event reporting. Assist with communication and recognition initiatives for volunteers. Manage the sourcing and confirmation of volunteers to speak at events in liaison with other team members.
  • Sponsorship & Partner Support
    Support relationship management with sponsors and corporate partners by maintaining records and helping prepare materials for meetings or renewals. Track key sponsor engagement actions and ensure follow-ups are completed. Assist with sponsor event logistics and communications.
  • Administrative and Reporting Support
    Follow established processes and procedures for stakeholder engagement and event coordination. Provide updates on progress and contribute to basic reporting. Support document preparation, scheduling, and meeting coordination for the department. Use internal systems and communication platforms (such as Microsoft Teams and Beacon) confidently to manage day-to-day tasks.

Skills and Experience
Strong organisational and administrative skills with attention to detail. Confident communication skills, both written and verbal. Ability to manage multiple tasks and deadlines in a busy environment. Proficiency in Microsoft Office and collaboration tools (e.g. Teams, Outlook, Excel). A proactive and reliable approach to work, with a willingness to learn and take direction. Ability to work collaboratively within a team and engage positively with stakeholders. Experience in event coordination or administrative support. Experience in a charity, education, or stakeholder engagement environment.

Details
Full-time role with flexible working around team core hours, to be discussed with line management upon commencement of employment. Location: Home-working but based in London (or surrounding areas) with some limited, ad-hoc travel to meetings and events.
