We are seeking an organised and proactive Senior Practice Administrator to support the smooth day-to-day running of the practice. The successful candidate, who may be called upon to work at both our Rickmansworth and Chorleywood sites, will provide support to the Practice Manager and her Deputy.
Main duties of the job:
- This newly created varied role will involve working closely with the management team.
- The successful candidate will possess strong administration skills, will manage QOF recalls and vaccination clinics.
- They will also support with the coordination of the clinical rotas and HR tasks.
About us:
The Gade and Chorleywood Health Centres, with around 20,000 patients, consists of 2 recently merged surgeries which are based across 3 sites in Rickmansworth & Chorleywood. We have 6 partners, 8 salaried GP's and several nurses, HCA's, Phlebotomists & Clinical Pharmacists plus a Physician Assistant. We also have around 32 administrative and reception staff and as a training practice we regularly have GP's in training working with us.
Job responsibilities:
- Manage QOF and Enhanced Care Framework (ECF) recalls
- Monitor recall progress and key deadlines
- Oversee Nurse and Clinical Pharmacist timetables to ensure alignment with QOF and ECF recall activity
- Day-to-day troubleshooting of recall, booking, and coding issues
- Manage NHS Health Check recalls
- Coordinate Flu and COVID vaccination clinics
- Oversee and manage pathology results and workflows
- Support and coordinate Patient Participation Group (PPG) activity, including meeting organisation, documentation, and follow up actions
- Support with maintaining and updating practice website content to ensure alignment with current services, recalls, and patient communications
- Complete monthly PPA claims
- Support with clinical rotas and book locums when required
- Support the recruitment process
- Support with setting up new starters, the induction and appraisal processes
- Coordinate face to face training sessions
- Assist in expanding our social media presence
- Organise practice, partner and nurse meetings
- Take minutes of practice meetings
Person Specification:
Qualifications: NVQ level 2 in health & social care or equivalent
Experience:
- Experience using Microsoft Office packages
- Previous administrative experience
- Experience working within a healthcare, GP practice or NHS environment
- Experience working with systems such as EMIS, DOCMAN, and ACCURX
