An exciting opportunity has arisen for an experienced Trade Mark Administrator to join the firm’s established Trade Marks team.

Working closely with Attorneys and Paralegals, you will play a key role in the day-to-day management of a varied portfolio of trade mark matters, ensuring deadlines are met, cases progress smoothly and clients receive a first-class service. This is a broad and varied position, ideal for someone who enjoys taking ownership of processes and being at the heart of a busy IP practice.

Key Responsibilities
  • Managing and maintaining trade mark case diaries, ensuring all deadlines are monitored and actioned.
  • Processing and allocating incoming correspondence to the appropriate teams and Fee Earners.
  • Preparing and filing UK, EU, International and foreign trade mark applications and associated documentation.
  • Monitoring and updating official deadlines arising from applications and official actions.
  • Acting as a key point of contact for clients, handling day-to-day queries and correspondence.
  • Managing Fee Earner inboxes and calendars, ensuring urgent matters are prioritised appropriately.
  • Preparing standard and non-standard correspondence to clients, overseas associates and Intellectual Property Offices.
  • Maintaining accurate records across the firm’s IP management systems.
  • Supporting the administration of trade mark watching services and reporting results to clients.
  • Assisting with assignments, licences, changes of name and address, and other recordal matters.
  • Conducting basic online trade mark searches and preparing draft reports.
  • Preparing invoice requests, monitoring billing and assisting with work in progress management.
  • Liaising with internal departments including Records, Renewals and Accounts to ensure the smooth progression of matters.
Requirements
  • Previous experience within a Trade Mark Administration, Trade Mark Formalities or IP Administration role.
  • A strong understanding of the trade mark filing and prosecution process.
  • CITMA Trade Mark Paralegal qualification, or working towards it, would be advantageous but is not essential.
  • Experience using UKIPO, EUIPO and WIPO online filing systems.
  • Excellent organisational skills with the ability to manage multiple deadlines simultaneously.
  • Strong communication skills and confidence liaising directly with clients and colleagues.
  • High levels of accuracy and attention to detail.
  • Experience using IP management systems such as Inprotech would be beneficial.
  • A proactive, team-oriented approach and a genuine interest in intellectual property.
