We are looking for far more than a traditional Personal Assistant. This is a Lifestyle & Operations Manager: someone who operates as the miniâCEO of a private family ecosystem, taking ownership of logistics, travel, property, staff, finances, systems, and the overall flow of life. Your mission is to remove 90% of operational, domestic, organizational and processârelated questions from the principal's plate with structure, taste, and flawless execution. You will work directly with an UHNW entrepreneur and family, shaping order, clarity and efficiency in every dimension of their lives.
This role requires strategic thinking, high autonomy, minimalism, excellent taste and a calm, systemâoriented mind.
What Youâll Be Working On- Personal & Family Logistics: Full management of personal, family and business calendars, childrenâs schedules, schools, activities, and monitoring and managing all personal/family documents and renewals.
- Travel Management (UHNW / VIP Level): Endâtoâend planning of international travel â flights, VIP terminals, hotels, villas, visas, transfers â coordination with concierge services, restaurants, drivers, budget control and quality assurance for each journey.
- Property & Household Management: Full oversight of properties, managing contractors (gardeners, engineers, maintenance teams, smartâhome systems), repairs, service contracts, expense tracking and planâvsâfact reporting.
- Operational Finances: Monthly reconciliation of family expenses, budgeting and cashâflow oversight, subscription management and recurring payments.
- Staff Coordination: Scheduling, task management, payments, quality control and communication with household staff and external providers.
- Systems & Organization: Building and maintaining all processes in Notion, structuring files, documents, databases, creating checklists, standards and operating procedures.
- At least 3+ years of experience as a Personal Assistant, Operations Manager or Lifestyle Manager within UHNW families or Family Offices.
- Proven ability to build systems and processes, not just execute instructions.
- High autonomy â take ownership, make decisions independently and bring complete solutions.
- Exceptional attention to detail, structure and followâthrough â nothing slips through the cracks.
- Strong empathy, diplomacy and emotional intelligence â work seamlessly with people of different personalities and expectations.
- Ability to stay calm under pressure, handle rapid changes and maintain composure in demanding environments.
- Fluent English (C1) â written and spoken. Russian / Latvian / Ukrainian language is a strong plus, but not required.
