We are currently looking to employ a Facilities Health & Safety Administrator. The role is office-based and responsible for coordinating and supporting Health & Safety activities across the EMEA region, based at the Headquarters.
Job Outline
The role requires a proactive, detail oriented individual with strong knowledge of Health & Safety. The Coordinator will support the development, implementation and ongoing maintenance of the Employee Safety, Wellness and Environment Manual, ensuring compliance with UK legislation and applicable EMEA regulatory requirements. Working closely with the EMEA Facilities Manager, HR, external consultants and teams across multiple locations, the successful candidate will help ensure regulatory compliance, effective risk management and promote a positive safety culture across the region.
Responsibilities
- Support the Facilities Manager in delivering facilities services across EMEA, including reception, workplace operations, security, post room and general administration.
- Ensure consistent and professional front of house service at the EMEA Headquarters.
- Support housekeeping and hospitality standards to maintain a high quality working environment.
- Provide administrative support for EMEA office data, lease activity and portfolio reporting.
- Support procurement activities, including purchase order generation, approvals and invoice reconciliation.
- Develop, implement and maintain Health & Safety policies, procedures and Safe Systems of Work across EMEA.
- Assist in ensuring compliance with UK legislation, EMEA regulatory requirements and ISO 45001 / ISO 14001 standards.
- Support risk assessments, statutory inspections, audits and site inspections.
- Manage incident, accident and near miss reporting, including investigation support and corrective action tracking.
- Coordinate Health & Safety training, inductions, emergency planning and contractor compliance.
- Serve as key point of contact for Health & Safety queries and promote a positive safety culture.
- Support environmental and ESG initiatives, including data collection, monitoring and reporting.
- Assist with tracking environmental performance metrics, including energy and waste.
- Support wider facilities and business initiatives as required.
- Provide out of hours support where necessary.
- Assist in moving office furniture and preparing meeting rooms when required.
- Additional project or duties as management may require at times.
Qualifications
- Experience in a Health & Safety or related role.
- IOSH qualification or working towards it desirable.
- Experience supporting multi-site operations, ideally across EMEA.
- Highly organised, detail oriented and able to manage multiple priorities under pressure.
- Effective communication skills, able to work independently and collaboratively.
- Proficient with Microsoft Office.
