Job Purpose

Are you highly organised, customer-focused, detail-conscious, and passionate about delivering an excellent candidate experience? We are looking for a motivated Recruitment Adviser to join our Permanent Recruitment Team. You will play a key role in coordinating interviews, managing candidate communications, and partnering with Recruiters and hiring managers to deliver a seamless interview process from start to finish. In addition, you will manage multiple recruitment inboxes, ensuring candidates and hiring managers receive timely support and an outstanding service throughout the recruitment journey.

Key accountabilities

  • Coordinate end-to-end interview scheduling activities for the Permanent Recruitment Team, supporting multiple business areas and stakeholders.
  • Manage a high volume of concurrent interview scheduling requests, ensuring timely and accurate communication with candidates, hiring managers, and recruiters.
  • Build and maintain effective working relationships with candidates, recruiters, and hiring managers to facilitate a seamless recruitment experience.
  • Proactively manage diaries and calendars, efficiently handling interview arrangements, rescheduling requests, and conflict resolution.
  • Maintain accurate and up-to-date interview scheduling records within the Applicant Tracking System (ATS), ensuring data integrity and compliance.
  • Ensure all scheduling activities are completed in accordance with established recruitment processes, service level agreements (SLAs), and compliance requirements.
  • Identify opportunities for process improvement and contribute to initiatives that enhance operational efficiency and candidate experience.
  • Manage and prioritise activity across multiple recruitment inboxes, responding to enquiries in a professional and timely manner.
  • Provide administrative support across a range of recruitment activities as required, including support with Freedom of Information (FOI) requests and Subject Access Requests (SARs).

Skills, Knowledge and Experience

Knowledge

  • Understanding of the employee lifecycle and core HR policies, procedures, and best practices.
  • Knowledge of recruitment and interview scheduling processes, including candidate management and stakeholder engagement.
  • Awareness of data protection principles and the importance of handling confidential information appropriately.

Skills

  • Excellent attention to detail, with strong organisational, administrative, and problem-solving skills.
  • Strong written and verbal communication skills, with the ability to build effective relationships with both internal and external stakeholders.
  • Ability to manage multiple priorities in a fast-paced environment while maintaining accuracy and delivering high-quality service.
  • Proficient in Microsoft Office applications, particularly Outlook, Word, Excel, and Teams.
  • Ability to work to Service Level Agreements (SLAs), monitor performance, and consistently meet deadlines.
  • Strong data entry and record management skills, ensuring accuracy and data integrity across systems.
  • Ability to review processes and documentation, identifying opportunities to improve efficiency, consistency, and user experience.

Experience

  • Proven experience in a recruitment coordination, recruitment administration, or interview scheduling role is preferred.
  • Experience of managing shared inboxes and responding to candidate, hiring manager, and stakeholder enquiries in a professional and timely manner.
  • Experience of managing complex diary coordination and scheduling across multiple stakeholders.
  • Experience of using Applicant Tracking Systems (ATS) and/or other HR or recruitment systems.
  • Experience of working within a Shared Services, HR Services, or Business Services environment.
  • Experience of delivering against agreed service standards, SLAs, or performance metrics.
  • Experience supporting continuous improvement initiatives and implementing process enhancements.
