This role provides a central point of coordination for all facilities-related matters, ensuring TfL customers receive timely, effective support to maintain safe, compliant, and well-functioning work environments. As a Facilities Coordinator, you will play a key part in enabling teams to continue delivering TfL’s core business by managing day-to-day FM requests, liaising with suppliers and contractors, and ensuring issues are resolved efficiently and professionally.

Key Accountabilities:
  • Provide facilities management services to TfL’s Head Office portfolio within the allocated location(s).
  • Act as key point of contact for all customers within the allocated portfolio, delivering a high level of customer service.
  • Oversee the smooth operation of all requests generated by the Facilities Service Centre, ensuring they are actioned appropriately and closed out timely.
  • Serve as contact for all 3rd-party suppliers (term and project).
  • Coordinate all on-site activities.
  • Provide and deliver inductions to new starters and supporting documentation where required.
  • Provide specialist support in the event of an on-site emergency.
  • Collate and provide information promptly to permit reporting of incidents and other occurrences to other members of the Facilities Operations team.
  • Ensure building checks are carried out in line with the Safety Management System.
  • Attend regular Health & Safety and Building Tenants’ meetings.
  • Carry out building inspections as required under the Facilities Operations Performance management system.
  • Act as deputy in the absence of the Building Support Manager / Building Manager as appropriate.
  • Act as cover on an alternative portfolio in the event of unplanned absence or a high volume of activity.
  • Perform all reasonable tasks related to the smooth and efficient operation of the facilities regime within the portfolio of responsibility.
Skills:
  • IT literate.
  • Able to work under pressure & respond well to a challenge.
Knowledge:
  • IOSH desirable but not essential.
  • Strong understanding of facilities management processes.
  • Practical knowledge of health and safety regulations and building services.
Experience:
  • Experience within a facilities management environment (desirable).
  • Experience working with CAFM (Computer Aided Facilities Management) software.
  • Experience working in a fast-paced operational environment.
